Medical Scribe Operations Manager
Location: Howell, NJ
Schedule: Full-Time, In-Office
Compensation: $65,000-$75,000 annually
About the Role
Our client is a growing healthcare-focused Business Process Outsourcing organization providing clinical and operational support services to healthcare organizations.
They are seeking a Medical Scribe Operations Manager to oversee teams of offshore medical scribes and other clinical support professionals while maintaining strong relationships with healthcare clients.
This is a leadership-focused position for someone with hands-on experience in a clinical environment who understands medical documentation, electronic health records, and the importance of accuracy in patient care. The Medical Scribe Operations Manager will be responsible for team performance, documentation quality, training, client satisfaction, and the continued development of the medical scribe program.
The ideal candidate combines clinical experience, people management, strong communication skills, and an analytical approach to performance improvement.
Responsibilities
- Manage and support a team of offshore medical scribes and other clinical support professionals
- Monitor team performance and ensure medical scribes consistently produce complete, accurate, and timely documentation
- Ensure patient visit documentation is entered appropriately within client Electronic Health Record systems
- Conduct regular quality audits and identify documentation or performance concerns
- Coach, mentor, and develop team members to improve quality and productivity
- Establish clear expectations and hold team members accountable for performance
- Coordinate onboarding and training for new medical scribes and client accounts
- Serve as a day-to-day point of contact for assigned healthcare clients
- Build strong working relationships with physicians, clinical leaders, administrators, and other healthcare stakeholders
- Communicate with healthcare professionals to clarify information and help ensure accurate documentation
- Monitor client satisfaction, service utilization, team productivity, and account health
- Use performance metrics and data analytics to identify trends, risks, or areas requiring additional support
- Address client concerns proactively and coordinate internal resources to drive timely resolution
- Participate in regular client checkpoints, performance discussions, and strategic business reviews
- Identify opportunities to improve workflows, documentation quality, training, and overall service delivery
- Partner with operations, training, leadership, and other internal teams to support client needs
- Assist with client retention and identify opportunities to expand existing service relationships
- Help develop processes and best practices that improve the medical scribe program as the organization grows
Qualifications
- 4 years of professional experience in a clinical patient-care environment preferred
- Previous experience as a Medical Scribe, Medical Office Manager, Practice Manager, Clinical Coordinator, or similar healthcare professional strongly preferred
- Prior experience supervising or managing employees
- Strong understanding of clinical documentation and healthcare workflows
- Experience working with multiple Electronic Health Record (EHR) systems
- Experience communicating directly with physicians and other healthcare professionals
- Strong leadership and employee development skills
- Ability to review work for accuracy, identify performance issues, and provide constructive feedback
- Strong analytical and problem-solving skills
- Ability to interpret performance metrics and use data to drive operational improvements
- Excellent written and verbal communication skills
- Strong presentation and client-facing communication skills
- Strong organizational skills with the ability to manage multiple priorities
- Demonstrated sense of ownership and ability to drive issues through resolution
- Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook
- Experience with CRM systems; QuickBase experience is a plus
- Healthcare BPO experience is preferred but not required
- Ability to work full-time in-office in Howell, NJ

Compensation
This position offers a base salary of $65,000-$75,000, depending on experience and qualifications.
