Responsibilities
- Greet visitors, clients, and staff with professionalism and warmth, ensuring a positive first impression.
- Answer multi-line phone systems promptly, directing calls accurately and courteously using proper phone etiquette.
- Manage appointment scheduling, calendar coordination, and appointment reminders using Microsoft Office and Google Workspace tools.
- Handle data entry, filing, and document proofreading to maintain accurate records and support office operations.
- Support office management tasks such as supply inventory, mail distribution, and maintaining cleanliness of the reception area.
- Assist with bookkeeping activities using QuickBooks or similar software to track expenses and invoices.
- Provide customer support by addressing inquiries efficiently and escalating issues when necessary.
Experience
- Prior office experience or clerical experience in a fast-paced environment is preferred.
- Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Experience with multi-line phone systems, data entry, filing, and general administrative duties is highly desirable.
- Bilingual skills are a plus to effectively communicate with diverse populations.
- Knowledge of medical or dental receptionist procedures, including calendar management and personal assistant tasks, is advantageous.
- Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail.
