Duties
- Manage front desk activities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Oversee office management tasks such as supply procurement, filing, data entry, and maintaining organized records
- Coordinate calendar management and schedule appointments for staff and executives using Google Workspace or Microsoft Office tools
- Handle clerical duties including proofreading documents, managing correspondence, and supporting administrative projects
- Maintain office equipment and troubleshoot basic technical issues related to computer hardware and software literacy
- Provide customer service support by assisting clients or visitors with inquiries and ensuring a positive experience
- Support bookkeeping and basic financial record-keeping using QuickBooks or similar accounting software
Experience
- Proven experience in office management or administrative roles with strong organizational skills
- Prior clerical experience including data entry, filing, and document proofreading
- Familiarity with multi-line phone systems, calendar management, and customer support procedures
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic computer literacy skills
- Experience as a dental or medical receptionist or personal assistant is a plus
- Demonstrated ability to manage multiple priorities efficiently with excellent time management skills
