The Opportunity
We're seeking a Design Project Manager to keep our projects moving from first concept to final installation on schedule, on budget, and true to design intent. This role sits at the intersection of design and delivery. It’s a blend of project management, construction management, operations, architecture, and interior design. Made for someone with the tenacity to follow every detail through to completion and the discernment to know what needs attention now and what can wait.
This person reports to the Studio Operations Director, works hand in hand with our architectural designers, interior designers, and in-house construction team, and knows when to clear the path so others can do their best work and when to rally the team to push a project across the finish line.
The ideal candidate brings a builder's practicality, an organizer's precision, and a leader's instinct.
Key Responsibilities
Project Management & Delivery
• Track project schedules, milestones, and deliverables across the design and construction teams, keeping every project moving forward on time.
• Monitor project budgets from design through construction, flagging risks early and keeping clients and firm leadership informed.
• Maintain detailed task lists, action items, and meeting notes; and follow up relentlessly until every item is closed out.
• Anticipate roadblocks and proactively resolve issues before they become problems.
Specifications, Budgets & Financial Tracking
• Create and maintain project spec books for finishes, fixtures, appliances, equipment, and furnishings.
• Build and manage budgets, tracking finish selections against allowances and communicating changes clearly.
• Request, compare, and manage equipment and vendor quotes, ensuring accuracy, completeness, and value.
• Manage furniture and décor procurement from purchase order through delivery and installation, tracking orders and lead times.
• Review client invoices for accuracy against contracts, budgets, change orders, and completed work before they are sent.
• Review construction draw requests against the project budget, schedule, and work in place, flagging discrepancies before approval.
• Track and reconcile vendor invoices, purchase orders, and project costs in partnership with our accounting team.
Team Coordination & Operations
• Serve as the connective link between architectural designers, interior designers, the consultants, construction team, and vendors.
• Enable team members by managing the details, clearing obstacles, and creating space for designers to focus on design.
• Galvanize the team when projects need momentum by setting priorities, rallying effort, and holding everyone accountable to shared goals.
• Identify opportunities to improve project systems, templates, and workflows across the studio.
What Success Looks Like
• Projects stay on schedule and on budget, and everyone knows where things stand.
• Spec books, budgets, and procurement logs are accurate, current, and trusted by the whole team.
• Client invoices and construction draws are accurate and go out on time, with no surprises.
• Orders, quotes, and invoices are tracked and closed out without needing to be chased.
• Designers feel supported and free to focus on their craft.
• Clients experience a well-run project from start to finish, with clear communication the whole way.
Qualifications
• A bachelor’s degree in business administration, construction management, or a related field.
• 5 years of experience in project management, construction management, or design coordination.
• Working knowledge of architecture, interior design, and construction processes, from design phases through installation.
• Hands-on experience creating spec books, managing budgets, gathering quotes, and procuring furniture, fixtures, and equipment is preferred but not required.
• Advanced proficiency in Excel; strong command of Microsoft Office and project management tools. Knowledge of design tools including Autodesk is a plus.
• Experience with invoicing, construction draws, purchase orders, and project cost tracking.
• Exceptional organizational skills, with the ability to manage multiple projects, priorities, and deadlines simultaneously.
• Outstanding written and verbal communication skills.
