Duties
- Greet visitors warmly and professionally, providing exceptional customer service at all times
- Manage multi-line phone systems, directing calls accurately and courteously
- Maintain a clean, organized front desk area and manage incoming mail and deliveries
- Schedule appointments, coordinate calendars, and assist with basic office management tasks
- Enter data accurately into office management systems, including client records and appointment logs
- Support clerical functions such as filing, proofreading documents, and data entry
- Utilize Microsoft Office Suite and Google Workspace for correspondence, document creation, and record keeping
- Handle inquiries via phone or email with professionalism and clear communication
- Assist with bookkeeping tasks using QuickBooks or similar software when necessary
- Support administrative functions such as photocopying, faxing, and maintaining office supplies
Skills
- Proven experience in office management or administrative support roles; previous front desk or receptionist experience preferred
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Excellent phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse clientele effectively
- Knowledge of QuickBooks or similar bookkeeping software is advantageous
