Extension Inc is seeking a Sr. Executive Assistant in a contract to hire role for one our clients in Waukesha, WI.
Key Duties/Responsibilities:
Executive Support
- Manage complex executive calendar with heavy meeting volume and global travel demands
- Serve as primary gatekeeper, screening calls, directing communications, and prioritizing requests
- Draft, review, and edit executive correspondence, memos, and presentations
- Maintain strict confidentiality when handling sensitive business information
Travel & Logistics Management
- Coordinate extensive domestic and international travel, including:
- Flights, accommodations, itineraries
- Passport and visa requirements
- Prepare and reconcile expense reports and travel & leisure (T&L) expenses
- Ensure seamless execution of executive travel schedules
Communication & Coordination
- Act as liaison between executive leadership and internal/external stakeholders
- Maintain strong communication with administrative teams across the organization
- Direct inquiries to appropriate departments and leaders
Reporting, Presentations & Documentation
- Create executive-level presentations, reports, and spreadsheets using Microsoft Office
- Prepare meeting agendas, minutes, and supporting materials
- Analyze and format business information for leadership consumption
Project & Office Management
- Manage multiple projects simultaneously and ensure timely completion of commitments
- Establish priorities for meetings, agendas, and executive initiatives
- Support overall office operations and administrative processes
Pay Rate - $40/hr
