Position Overview

We are hiring an Order Processing Specialist to manage and coordinate a newly developed ordering system for national monthly point-of-purchase (POP) display materials. This role involves high-volume data entry, Excel-based reporting, and coordination with multiple stakeholders to ensure accurate and timely order processing and shipment tracking.

Key Responsibilities

• Upload, sort, and reformat large datasets from the ordering platform using Excel.
• Compile monthly consolidated orders across multiple brands and product categories.
• Input finalized data into a custom backend website interface.
• Ensure all product details (images, descriptions, costs) are accurately entered.

Communication & Collaboration

• Coordinate with 30 brand contacts and 300–400 sales reps to gather item details.
• Respond to customer inquiries and requests, primarily via email.
• Track and verify shipping data from suppliers and update the system accordingly.

Reporting & Documentation

• Generate itemized reports for internal review and customer approval.
• Maintain accurate records of shipping documents and order statuses.
• Work with vendors to ensure timely delivery and tracking updates.

Design & Content Support

• Use basic Photoshop or Adobe tools to format product images and descriptions.
• Assist in preparing catalog-style listings for each brand’s monthly offerings.

Qualifications

• Advanced proficiency in Microsoft Excel (pivot tables, formulas, data manipulation).
• Basic knowledge of Adobe Photoshop or Illustrator.
• Strong organizational and time management skills.
• Excellent written communication skills.
• Ability to manage multiple deadlines and coordinate with various stakeholders.
• Comfortable working independently with minimal social interaction.
