Position Overview
We are hiring an Order Processing Specialist to manage and coordinate a newly developed ordering system for national monthly point-of-purchase (POP) display materials. This role involves high-volume data entry, Excel-based reporting, and coordination with multiple stakeholders to ensure accurate and timely order processing and shipment tracking.
Key Responsibilities
- Upload, sort, and reformat large datasets from the ordering platform using Excel.
- Compile monthly consolidated orders across multiple brands and product categories.
- Input finalized data into a custom backend website interface.
- Ensure all product details (images, descriptions, costs) are accurately entered.
Communication & Collaboration
- Coordinate with 30 brand contacts and 300–400 sales reps to gather item details.
- Respond to customer inquiries and requests, primarily via email.
- Track and verify shipping data from suppliers and update the system accordingly.
Reporting & Documentation
- Generate itemized reports for internal review and customer approval.
- Maintain accurate records of shipping documents and order statuses.
- Work with vendors to ensure timely delivery and tracking updates.
Design & Content Support
- Use basic Photoshop or Adobe tools to format product images and descriptions.
- Assist in preparing catalog-style listings for each brand’s monthly offerings.
Qualifications
- Advanced proficiency in Microsoft Excel (pivot tables, formulas, data manipulation).
- Basic knowledge of Adobe Photoshop or Illustrator.
- Strong organizational and time management skills.
- Excellent written communication skills.
- Ability to manage multiple deadlines and coordinate with various stakeholders.
- Comfortable working independently with minimal social interaction.
