Position Overview: We are seeking a highly organized and compassionate DDA Staffing Coordinator to join our team. This pivotal role is responsible for ensuring our participants receive consistent, high-quality care by effectively managing the scheduling and deployment of our Direct Support Professionals (DSPs). The ideal candidate is a proactive problem-solver with excellent communication skills and a deep understanding of DDA regulations and person-centered planning.
Key Responsibilities:
- Staff Scheduling & Management:
- Develop, manage, and maintain master staff schedules for all participants and DSPs using scheduling software.
- Ensure all participant shifts are filled according to their Person-centered Plan (PCP) and authorized hours.
- Proactively address callouts, vacations, and other staffing shortages by finding suitable coverage, including providing coverage personally if necessary.
- Recruitment & Onboarding Support:
- Collaborate with HR to recruit, interview, and onboard new Direct Support Professionals.
- Facilitate the training and orientation of new staff, ensuring they understand participant-specific needs and DDA protocols.
- Participant & Family Communication:
- Serve as a primary point of contact for participants and their families/guardians regarding scheduling questions and changes.
- Communicate schedule changes and staffing updates promptly and clearly.
- Compliance & Documentation:
- Maintain accurate and up-to-date records of staff hours, participant services, and schedules.
- Ensure strict compliance with all Maryland DDA policies, procedures, and documentation requirements.
- Audit timesheets for accuracy and approve payroll for assigned staff.
- Crisis Management:
- Act as the first point of contact for staff emergencies during off-hours on a rotating on-call basis.
Qualifications & Requirements:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Human Services, Business Administration, or a related field preferred.
- Minimum of 2 years of experience in staffing, scheduling, or coordination, preferably within a DDA-funded or similar healthcare setting.
- Thorough knowledge of Maryland DDA regulations and the commitment to person-centered care.
- Exceptional organizational and time-management skills with a strong attention to detail.
- Proficiency with scheduling software and Microsoft Office Suite.
- Excellent verbal and written communication and interpersonal skills.
- Ability to handle sensitive information with confidentiality and discretion.
- Must pass a mandatory background check and drug screening as required by the Maryland DDA.
