ePropelled is seeking a highly organized, dependable, and customer-focused Administrative Assistant to support the daily administrative operations of our growing manufacturing facility.
The Administrative Assistant serves as the primary administrative resource for the office, providing support to employees and leadership while ensuring day-to-day operations run efficiently. This role performs a variety of office management and administrative functions, assists with Human Resources administration, maintains confidential employee records, and helps coordinate onboarding and payroll-related activities.
The successful candidate will be detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced environment. This role reports directly to the U.S. HR Manager.

Essential Responsibilities
Office Administration
· Serve as the first point of contact for employees, visitors, vendors, and deliveries.
· Answer and direct phone calls and general inquiries.
· Maintain office organization and ensure common areas remain professional and well stocked.
· Order and maintain office supplies, breakroom supplies, and administrative materials.
· Coordinate incoming and outgoing mail, shipping, and deliveries.
· Schedule meetings and assist with conference room coordination.
· Maintain filing systems, both electronic and paper.
· Coordinate office equipment maintenance and service requests.
· Assist leadership with administrative projects as assigned.

Human Resources Administration
· Prepare new hire paperwork and onboarding packets.
· Maintain confidential personnel files and HR records.
· Process employment documentation, status changes, and other personnel transactions.
· Coordinate background check paperwork and pre-employment documentation.
· Assist with onboarding logistics and orientation scheduling.
· Track required employee training and certifications.
· Assist with benefits enrollment paperwork and employee updates.
· Respond to routine employee questions regarding administrative processes and company procedures.
· Escalate employee concerns, complaints, or policy-related questions to the Human Resources Manager.
· Maintain compliance with document retention and recordkeeping requirements.

Payroll & Timekeeping Support
· Assist employees with routine time clock corrections and questions.
· Review time records for completeness prior to payroll processing.
· Maintain attendance records and assist with PTO tracking.
· Coordinate payroll-related documentation with the payroll provider.
· Assist with employment verification requests and other payroll administrative tasks.

Administrative Support
· Prepare reports, spreadsheets, and correspondence.
· Maintain company forms and administrative templates.
· Support company meetings, employee events, and training sessions.
· Assist with special projects and continuous improvement initiatives.
· Perform other administrative duties as assigned.

Qualifications
Required
· High school diploma or equivalent required; Associate's degree preferred.
· Two or more years of experience in office administration, administrative support, or office management.
· Strong organizational and time management skills.
· Excellent written and verbal communication skills.
· High level of professionalism and discretion.
· Ability to manage multiple priorities with attention to detail.
· Strong customer service and interpersonal skills.
· Proficiency with Microsoft Office (Outlook, Word, Excel, Teams).
