Job Title: HR Assistant
Location: Food Distribution Warehouse
Pay Rate: $18.00/hour
Schedule: TBD (Must be flexible, including weekends/OT as needed)

Job Summary:
The HR Assistant will support daily HR and operational functions in a fast-paced distribution environment. This role focuses on scheduling, reporting, filing, and administrative support. The ideal candidate is highly organized, detail-oriented, and confident using Excel, PowerPoint, and other computer systems while communicating with multiple departments.

Key Responsibilities:

  • Take ownership of the master schedule, ensuring it is accurate, updated, and distributed on time
  • Coordinate and support daily and weekly scheduling needs with DC Managers and operations teams
  • Track attendance, hours, and support schedule adjustments as needed
  • Maintain and manage filing systems (digital and physical), ensuring all documents are accurate, compliant, and audit-ready
  • Maintain and update the OTDT report with a high level of accuracy and consistency
  • Assist with generating and updating basic reports for HR and operations
  • Enter and manage data in internal systems and Excel spreadsheets
  • Support onboarding documentation, employee records, and general HR paperwork
  • Communicate professionally with employees, supervisors, and management regarding schedules and updates
  • Assist multiple departments with administrative tasks as needed
  • Ensure confidentiality of employee information at all times

Training & Development:

  • Phase 1 (First 30 Days): Focus on learning and supporting the master schedule while working closely with HR and DC Managers
  • Phase 2: Transition into full scheduling support and ownership of filing systems
  • Phase 3: Assist with reporting and take ownership of OTDT tracking and accuracy

Qualifications:

  • Strong communication and interpersonal skills
  • Excellent organizational and time management skills
  • High attention to detail and accuracy
  • Proficient in Microsoft Office (Excel, PowerPoint, Word, Outlook)
  • Ability to multitask and meet deadlines in a fast-paced environment
  • Ability to work independently and as part of a team
  • Previous HR, administrative, or office experience preferred

Additional Requirements:

  • Must be flexible with schedule (including weekends, overtime, and holidays if needed)
  • Comfortable working in a warehouse/distribution environment
  • Ability to adapt to changing priorities and business needs
