We are seeking a detail-oriented, motivated Billing Administrative Assistant to join our team. This is an entry-level position with full training provided. The Billing Assistant will support the accounting department with a range of administrative duties, working with both internal teams and external systems to ensure accurate, timely reporting.
Key Responsibilities
- Collaborate with the team in a supportive, professional environment
- Request and follow up on all change orders; maintain the internal change order log
- Prepare and send weekly billing for residential clients
- Research and follow up on residential collections
- Follow up with project managers on missing documentation or requirements
- Maintain and process lien waivers
- Accurately enter data into accounting and project management systems
- Review subcontractor pay applications for accuracy before processing
- Verify project information in project management software
- Assist with accounting administrative tasks and document control
- Perform project close-out reconciliations and resolve billing discrepancies
- Review project setup documents and client change orders for completeness
- Manage communications with vendors, clients, and subcontractors as needed
- Respond to staff and client requests in a timely manner
Qualifications
- Bachelor's or Associate's degree, or equivalent work experience
- Prior billing/invoicing experience preferred; exposure to pay applications a plus
- Proficiency in Microsoft Office, especially Excel, required
- Strong verbal and written communication skills
- Ability to multitask and manage multiple projects simultaneously
- Familiarity with certified payroll a plus
- Experience with web-based sales/accounting platforms (especially those that export to Excel) a plus
Salary : $17 - $20
