Essential Duties and Responsibilities

  • Provide front-line customer service, administrative support, and reception for the Student Services administrative suite, maintaining a welcoming, student-centered environment for students, employees, and visitors.
  • Serve as the primary point of contact for the office by greeting visitors, answering phones, responding to general inquiries, and directing students to appropriate offices and services.
  • Coordinate daily administrative operations, including office scheduling, shared divisional calendars, meeting coordination, office supplies, records management, and routine office maintenance.
  • Support Student Services departments with administrative and operational functions related to admissions, advising, financial aid, dual enrollment, student life, enrollment management, graduation, registration, and other student success initiatives.
  • Process basic admissions applications and supporting documentation for dual enrollment, first-time freshmen, and other designated student populations during peak periods. Complete associated data entry for dual enrollment high school transcripts as assigned.
  • Provide administrative support through data entry, document processing, and maintenance of student records utilizing Banner, TargetX CRM, Banner Document Management (BDM), and other college systems.
  • Maintain institutional waiver processes, serving as the primary contact for community partner waivers while coordinating eligibility and renewal activities with Financial Aid.
  • Serve as the primary liaison for assigned high school scholarship initiatives, including initial communications with school counselors regarding student eligibility for valedictorian, salutatorian, and Shoals Scholar Dollar programs.
  • Assist with Patriot Pack attribute maintenance, student account activities, and resolution of related student issues.
  • Assist with planning, logistics, registration, and execution of Student Services events and programs, including recruitment activities, Patriot Rallies, FAFSA and registration events, student success workshops, commencement, and other divisional initiatives.
  • Develop and distribute divisional communications, including the Patriot Pulse newsletter, FAQs, informational materials, website updates, and other internal and external communications.
  • Compile data, prepare reports and dashboards, document departmental accomplishments, and assist with assessment, audits, and state, federal, and accreditation reporting.
  • Assist with the preparation, review, and maintenance of Student Services publications, including the college catalog, calendars, and registration schedules.
  • Organize divisional and training meetings by preparing agendas, recording minutes, and maintaining related documentation.
  • Coordinate Student Services and Dual Enrollment administrative functions which may include purchase requisitions, purchase orders, budget tracking, travel requests, reimbursements, support staff personnel action forms, payment documentation, check requests, and related business office processes.
  • Support divisional document retention, imaging, filing, and records destruction efforts in accordance with institutional policies.
  • Assist with preparation of documentation supporting institutional accreditation, compliance, and other special projects.
  • Serve on institutional committees as assigned.

Qualifications

  • One (1) year (32 semester hours) of postsecondary education in related coursework form a regionally accredited institution, required.
  • Associate Degree in Business/Office Administration or related field, preferred.
  • One (1) year experience in a business office setting, required.
  • One (1) year experience in higher education, preferred.
  • Experience with Banner or other student information systems, preferred.

SALARY: Compensation is in accordance with the Alabama Community College System’s Salary Schedule E3-4 ($39,759 - $57,251).
