What are the responsibilities and job description for the Administrative Assistant- Adult Outpatient position at Encompass Community Services?
Summary:
Under direction of the Manager, this is an administrative position that shares reception duties such as scheduling appointments, giving information to callers, taking client payments, providing file documentation (paper and electronic), processing daily revenue deposits, and otherwise performing clerical work and administrative and business tasks. This position is primarily responsible for administrative duties of the Links2Health (L2H) and Adult Outpatient Drug Medi-Cal programs. This position may be assigned to either the Santa Cruz and/or Watsonville outpatient clinics.
Responsibilities:
- Front desk and reception duties as directed i.e. greet clients, answer phones, and assist clients with needs in a trauma-informed, culturally humble manner.
- Invoicing/processing payments and revenue deposits
- Generate and analyze program data
- Provide Medical/Medicare information to clients and verify eligibility
- Support with outreach efforts
- Assist with planning and coordinating meetings, trainings and events
- Data entry for Avatar or other electronic portals
- Monitor billing submitted, ensure that payment has been received for services billed
- Monitor client files, ensure that timelines are adhered to
- Adherence to and support of Encompass personnel, facility and expense policies
- Provide administrative and clerical support for the Links2Health Program
- Occupy front reception desk and duties, provide support for multi-line phones, order supplies as needed, process purchase vouchers
- Purchasing supplies as directed
- Other duties as assigned
Qualifications:
- High School Diploma or GED required
- 3 years of related administrative or clerical work experience
- Experience working in an administrative or clerical capacity in a healthcare setting
- Experience with collaborative and trauma informed communication styles when serving clients in a healthcare or treatment setting
- Proficient computer skills and history of timely completion of work related tasks
- Bilingual in Spanish highly preferred (stipend for bilingual ability is $0.75/$1.00)
- Good oral and written communication skills with colleagues and clients
- Effective organizational and time management skills
- Effective prioritization of daily work tasks
- Effective experience problem solving and using critical thinking
