Administrative Assistant / Executive Assistant

We are seeking an experienced, highly organized, and proactive Administrative Assistant / Executive Assistant to support the Chicago branch of a fast-paced international organization. This role requires exceptional multitasking abilities, strong communication skills, and the ability to manage confidential information with professionalism and discretion in a global business environment.
The ideal candidate will provide executive-level administrative support, coordinate international operations, and serve as a key liaison across multiple teams, stakeholders, and time zones.
Key Responsibilities
Executive & Administrative Support
- Provide comprehensive executive and administrative support to a team of 15–19 employees.
- Manage complex calendars and scheduling across multiple international time zones.
- Coordinate domestic and international travel arrangements, including flights, hotels, visas, and detailed itineraries.
- Prepare meeting agendas, presentations, reports, and briefing materials.
- Serve as a primary point of contact between executives, internal teams, clients, and external partners.
Communication & Coordination
- Manage professional correspondence including emails, phone calls, and written communications.
- Coordinate meetings, video conferences, and business events with global stakeholders.
- Liaise effectively with international teams, clients, and business partners.
- Screen and prioritize communications to ensure efficient workflow and responsiveness.
Operational & Organizational Support
- Maintain organized records, files, and confidential documentation.
- Process expense reports, invoices, and related administrative tasks.
- Ensure adherence to company policies, procedures, and operational standards.
- Provide limited personal assistance to support executive productivity and efficiency.
Qualifications
- Bachelor’s degree or equivalent professional experience preferred.
- 7–10 years of experience in an Executive Assistant, Personal Assistant, or similar administrative support role.
- Experience supporting senior leadership or C-level executives in an international or multicultural environment.
