Purchasing Assistant / Buyer
We are seeking a detail-oriented and organized Purchasing Assistant / Buyer to support our Purchasing team with daily administrative and procurement activities. This role is responsible for processing purchase orders, maintaining purchasing records, communicating with vendors, tracking deliveries, and ensuring accurate documentation to support efficient operations.
The ideal candidate is highly organized, proficient with data entry and Microsoft Office, and able to manage multiple priorities while maintaining accuracy in a fast-paced environment.
Responsibilities
- Create, process, and maintain purchase orders in the company's ERP system.
- Review purchase requisitions for completeness and accuracy before processing.
- Communicate with suppliers regarding order status, pricing, delivery schedules, and documentation.
- Track open purchase orders and follow up with vendors to ensure on-time delivery.
- Maintain accurate purchasing records, vendor files, and procurement documentation.
- Update spreadsheets, reports, and purchasing data to support inventory and procurement activities.
- Coordinate with internal departments, including Production, Inventory, Shipping, and Accounting, to ensure purchasing needs are met.
- Assist with obtaining supplier quotes and preparing price comparisons.
- Resolve routine purchasing issues, including order discrepancies, shipping delays, and invoice questions.
- Support inventory replenishment activities and assist with maintaining appropriate stock levels.
- Prepare reports and perform general administrative duties, including filing, scanning, and document management.
- Ensure purchasing activities comply with company policies and procedures.
- Perform other administrative and purchasing-related duties as assigned.
Qualifications
- High school diploma or equivalent required; Associate degree in Business, Supply Chain, or a related field preferred.
- 1–3 years of administrative, purchasing, procurement, or office support experience preferred.
- Strong organizational skills with exceptional attention to detail.
- Proficient in Microsoft Office, particularly Excel, Outlook, and Word.
- Experience with ERP or purchasing software is preferred.
- Excellent written and verbal communication skills.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong customer service and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
Salary : $30
