Employee Benefit Systems (EBS) is looking for a friendly, professional, organized, and detail-oriented Receptionist & Benefits Documentation Specialist to join our team.
This is an excellent opportunity for someone who enjoys working with people and detailed information, documents, and processes.
Be the first point of contact for EBS, welcome visitors, answer and direct phone calls, assist employees and clients who contact our office, and provide administrative support to the EBS team.
In addition, you will develop specialized knowledge of employee benefits and prepare/ maintain health plan documents, Summary Plan Descriptions (SPDs), Summary of Benefits and Coverage (SBCs), and other benefit-related materials for our employer clients.
What You'll Do
Reception & Administrative Support
- Serve as the first point of contact for EBS visitors and callers.
- Answer, screen, and direct incoming telephone calls in a professional and courteous manner.
- Greet visitors and ensure they are directed to the appropriate person or resource.
- Respond to general questions or direct employees, clients, brokers, and other callers to the appropriate EBS team member.
- Receive and distribute mail, packages, and other correspondence.
- Maintain an organized and professional reception area.
- Assist with general administrative tasks and projects throughout the EBS organization.
- Provide backup administrative support to other departments as needed.
Plan Documents & Benefit Materials
- Prepare and maintain health and welfare benefit plan documents and related materials for EBS clients.
- Create and update Summary Plan Descriptions (SPDs) and Summary of Benefits and Coverage (SBCs) based on employer plan designs and approved benefit information.
- Review plan documents, benefit summaries, carrier materials, and other source documents to ensure information is accurately reflected in client-facing materials.
- Assist with quality control and proofreading of plan documents and SBCs before they are distributed to clients.
- Maintain organized electronic files and documentation related to client benefit plans.
- Develop a strong understanding of employee benefits, regulatory requirements, and EBS' processes and systems.

The ideal candidate will be professional, dependable, highly organized, and extremely detail-oriented. Because this position combines reception responsibilities with technical document preparation, the successful candidate must be comfortable interacting with clients and employees while also spending significant time working independently reviewing, preparing, and proofreading detailed benefit documentation.
You should be able to:
- Communicate professionally and courteously with employees, clients, brokers, carriers, and coworkers.
- Maintain a positive and welcoming attitude, even in a busy environment.
- Handle confidential employee and benefit information appropriately.
- Proofread and identify errors in detailed documents.
- Follow established procedures and pay close attention to detail.
- Organize and prioritize multiple tasks and deadlines.
- Learn new software systems and processes quickly.
- Work independently while knowing when to ask questions.
- Research information and follow an issue through to resolution.
- Work comfortably with Microsoft Office, particularly Word and Excel.
- Demonstrate strong written communication and proofreading skills.
Preferred Qualifications
- Previous experience in a receptionist, administrative, customer service, human resources, insurance, or employee benefits role.
- Experience working with health insurance or employee benefit plans.
- Experience preparing or maintaining benefit documents, SPDs, SBCs, or other employee communications.
- Strong Microsoft Word and Excel skills.
- Experience working with document management systems or other administrative software.
- Associate's degree in business, human resources, communications, or a related field is preferred but not required.
