We are seeking a Payroll Specialist to join our team and play a vital role in ensuring seamless payroll processing and compliance for the businesses we serve.
Key Responsibilities:
- Collect and verify data: Review payroll and timekeeping information provided by clients, enter data accurately into the system, and verify all details to ensure payroll precision.
- Process payroll: Accurately prepare and process payroll for multiple clients and ensure all employees are paid correctly and on schedule.
- Calculate deductions: Accurately calculate and apply payroll deductions, including taxes, insurance, and retirement contributions.
- Compliance: Ensure all payroll activities remain current with federal, state, and local payroll laws and regulations.
- Maintain records: Update and manage employee payroll records, including new hires, terminations, promotions, and benefit or tax status changes per client request.
- Provide client support: Serve as the primary point of contact for payroll inquiries, resolving issues with professionalism, critical thinking, and problem-solving while balancing multiple high-priority tasks.
- Respond to inquiries: Serve as the primary contact for all payroll questions.
- Audit support: Assist with annual payroll audits for our clients.
- Administrative support: Perform general office duties such as data entry, handling payroll correspondence, and other tasks as needed.
Essential Skills and Qualifications:
- Strong attention to detail and accuracy in financial and payroll work, with the ability to identify errors and troubleshoot effectively.
- Proficiency with Microsoft Excel and experience with payroll or accounting software; experience in ADP Run, ADP Workforce Now, Payentry, or Surepayroll is a plus.
- Excellent mathematical, analytical, and critical thinking skills to solve client and process challenges.
- Strong organizational and time management abilities to meet strict deadlines.
- Effective communication and interpersonal skills for building professional relationships with clients and colleagues.
- Ability to handle confidential and sensitive information with discretion.
- Client-focused excellence: consistently demonstrates commitment to understanding client needs and delivering thoughtful, accurate solutions.
- Ability to balance multiple high-priority tasks and reprioritize as needed while managing interruptions.
Required Education and Experience:
- High school diploma or GED required; an Associate’s or Bachelor’s degree in accounting, finance, or related field preferred.
- Proven experience in a payroll role, preferably in a multi-client or multi-state environment.
- Knowledge of federal and state payroll tax laws.
