About the Group
We are an independent, physician-owned emergency medicine group of 40 emergency physicians and 10 advanced practice providers, staffing two clinical sites in Central Washington — a primary site in Yakima and a site in Ellensburg.
As a physician-owned practice, we make our own decisions about how we staff, schedule, and support our clinicians. We are hiring a Practice Administrator to lead that work.
About the Role
The Practice Administrator is our senior non-physician administrative leader and manages the people-operations function of the group: clinician recruiting, onboarding and credentialing coordination, execution of the staffing schedule, payroll and retirement plan administration, and the administrative supervision of our clinician members.
This is a part-time role with real authority and real consequence. In emergency medicine, keeping the group fully staffed and credentialed is the difference between predictable coverage and expensive gaps. You will be responsible for that outcome. You will work directly with the Managing Partner and the Executive Committee, and you will be the administrative point of contact for 50 clinicians.
We have structured this position with an annual minimum expectation of 1,050 paid hours. We did this deliberately: it gives you income predictability in the absence of a benefits package, and it secures us a committed senior professional rather than incidental part-time attention.
The role carries no clinical authority. All matters of clinical judgment, quality, peer review, and privileging remain with our Medical Director and physician leadership.
What You Will Manage
Six functional areas. Recruiting cycles, credentialing volume, and schedule production are uneven by nature, so the minimum hours expectation is set to address the total workload rather than any single function. However, the employee should expect that job responsibilities may require the employee to work more than the minimum weekly hours from time to time.
Clinician Recruiting Continuous
- Manage full-cycle recruitment for physician and advanced practice provider vacancies, from workforce forecast through signed agreement.
- Maintain a live candidate pipeline; own sourcing channels including residency program relationships, specialty job boards, professional networks, and search firms.
- Coordinate candidate site visits, interview panels, and partner meetings; manage candidate communication and the offer process.
- Negotiate and administer locum tenens agency contracts to cover coverage gaps; track locums spend against budget.
- Report quarterly to the Executive Committee on vacancy rate, time-to-fill, cost-per-hire, offer acceptance rate, and forecast staffing risk.
Onboarding & Credentialing Coordination Per hire
- Manage the onboarding pathway from signed offer through the clinician's first independent shift.
- Coordinate hospital privileging, payer enrollment, Washington state licensure, and DEA registration with the hospital medical staff office and payer representatives.
- Maintain advanced practice provider practice agreements, scope documentation, and any collaborative arrangements required under Washington law.
- Track credentialing milestones against target start dates; escalate delays that threaten coverage or billing.
- Deliver new clinician orientation covering group policy, scheduling systems, documentation standards, and administrative expectations.
- Coordinate mentor pairing and structured 30, 60, and 90-day check-ins.
Schedule Execution Monthly production cycle
- Produce and publish the monthly clinician staffing schedule in accordance with the coverage model, scheduling rules, and equity standards set by physician leadership.
- Administer shift preference collection, time-off requests, and leave against coverage requirements.
- Process shift swaps and trades; maintain the scheduling platform as the single source of truth.
- Fill open and dropped shifts through internal coverage, additional-shift solicitation, or locums placement; escalate unresolved coverage gaps to the Managing Partner without delay.
- Publish the schedule in accordance with the group's advance-notice standard and manage in-cycle changes.
- Track and report schedule equity across the group — night, weekend, and holiday distribution — and flag imbalances to physician leadership.
- Reconcile the published and worked schedule against payroll each cycle.
Payroll & Retirement Plan Administration Semi-monthly
- Administer the group payroll cycle for physicians and administrative staff, including shift differentials, productivity and incentive distributions, and partner draws.
- Maintain time and shift records; reconcile payroll against the physician scheduling system each cycle.
- Serve as liaison to the group's accountant, payroll provider, and 401(k) recordkeeper or third-party administrator.
- Administer 401(k) enrollment, eligibility tracking, contribution processing, and annual census and testing data requests.
- Maintain payroll compliance records, including Washington Paid Family and Medical Leave and WA Cares Fund reporting.
Administrative Supervision of Clinicians Continuous
- Serve as the administrative point of contact for physician employment matters: employment agreements, schedule and time-off administration, expense and CME reimbursement, and licensure currency.
- Administer group administrative policy, including attendance, documentation timeliness, and completion of mandatory training and compliance items.
- Maintain physician employment files, credentialing records, and required documentation.
- Track and follow up on administrative deficiencies; escalate persistent issues to the Managing Partner.
- Refer every clinical, quality, peer review, or privileging matter to the Medical Director without exception.
Governance & General Administration Monthly
- Schedule and coordinate Executive Committee, partner, and leadership meetings — maintain the recurring meeting calendar, poll and confirm attendee availability, arrange the meeting room or video conference, and circulate the agenda and materials in advance.
- Prepare materials, agendas, and minutes for Executive Committee and partner meetings.
- Administer vendor relationships and service contracts within delegated authority.
- Maintain the group policy manual and employee handbook.

Schedule, Location & Travel
- Hours. 1,050 minimum hours per contract year, averaging approximately 20 hours per week, scheduled by mutual agreement. Predictable availability during payroll processing weeks is required.
- Hybrid. On-site presence in Yakima is required for candidate site visits, new clinician onboarding, and Executive Committee and partner meetings. Remaining work may be performed remotely.
- Inter-site travel. Periodic travel to our Ellensburg site is required for onboarding, staffing coordination, and clinician engagement. Travel time between sites during the workday is paid time worked and counts toward the hours minimum. Mileage is reimbursed at the prevailing IRS standard rate.
- Occasional travel. Residency recruiting events and professional conferences.
- Hours tracking. This is a non-exempt position, so all hours worked are recorded. Hours beyond 40 in a workweek are paid at one and one-half times the regular rate. Work substantially beyond the guaranteed schedule requires advance approval from the Managing Partner.
Compensation & Benefits
Base pay: $68,250 annual salary for all hours worked up to 20.2 hours in a workweek. Plus, $65.00 per hour for all hours worked in excess of 20.2 hours in a workweek.
How the minimum hourly expectation works. The minimum hourly expectation is a floor on paid hours, not a cap on worked hours:
- You are paid on a salary basis, semi-monthly ($2,843.75 per pay period).
- The will be paid the salary for all hours worked up to 20.2 hours in a workweek.
- For all hours worked in excess of 20.2 hours in a workweek (up to 40 hours in the workweek), you will be paid $65.00 per hour.
- For all hours worked in excess of 40 hours in a workweek, you will be paid $97.50 per hour (i.e., 1.5 times your regular rate of pay, per applicable wage and hour laws).
Retirement. After twelve months of service, the group makes an employer contribution to the 401(k) plan equal to 13.1% of eligible compensation. The contribution is non-elective — you receive it whether or not you defer your own pay. At the guaranteed minimum that is approximately $8,940 per year, bringing total compensation to roughly $77,191.
Benefits — please read carefully. This position does not carry group benefits. We do not provide medical, dental, or vision insurance; life or disability insurance; paid time off; or paid holidays. We have set the hourly rate above the market full-time-equivalent benchmark for this role specifically to offset the absence of a benefits package.
Statutory coverages apply as required by law, including workers' compensation, Washington Paid Family and Medical Leave, and Washington Paid Sick Leave (which accrues at one hour per forty hours worked).
