Elite Medspa Wellness Center is seeking two highly motivated, patient-focused professionals to join our growing practice:
1. Patient Concierge & Growth Coordinator (Aesthetics Focus)
2. Patient Concierge & Growth Coordinator (Wellness & HRT Focus)
These roles are ideal for individuals with experience in medical spas, aesthetics, wellness, concierge healthcare, patient coordination, luxury sales, luxury hospitailty.
Both positions combine exceptional patient care with practice growth responsibilities, helping patients achieve their aesthetic and wellness goals while supporting provider success, patient retention, lead conversion, and overall business growth.
What You'll Do
Patient Experience & Front Desk Operations
- Deliver a high-end, concierge-level patient experience from initial inquiry through follow-up care.
- Manage patient scheduling, check-in/check-out, appointment coordination, phone calls, emails, and text communications.
- Serve as a trusted resource for patients regarding services, memberships, programs, policies, and next steps.
- Maintain accurate patient records, forms, documentation, CRM data, reviews, testimonials, and rewards programs.
- Support efficient front-office operations and patient flow.
- Collaborate with providers and team members to ensure an exceptional patient experience.
Practice Growth & Patient Retention
- Support new patient acquisition, lead conversion, patient retention, and reactivation efforts.
- Assist with provider schedule utilization and pre-booking initiatives.
- Build relationships that encourage long-term patient engagement and loyalty.
- Monitor patient experience and identify opportunities for service improvement.
- Participate in growth initiatives designed to increase practice performance and revenue.
Lead Management & CRM Administration
- Follow up promptly with incoming leads and inquiries.
- Manage lead tracking, patient communications, and CRM workflows.
- Maintain accurate records and conversion reporting.
- Support marketing campaigns, referral programs, and patient outreach initiatives.
- Analyze conversion trends and recommend opportunities for improvement.
Marketing & Business Development Support
- Collaborate with leadership and marketing teams on patient acquisition initiatives.
- Support reviews, testimonials, social media engagement, community outreach, and promotional campaigns.
- Help identify growth opportunities based on patient interests, provider availability, and service demand.
- Participate in special events, educational programs, and business development efforts.
Additional Responsibilities by Specialty
Aesthetics Focus
- Educate patients on aesthetic treatment options and memberships.
- Support provider growth initiatives, schedule optimization, and patient retention programs.
- Assist with aesthetic lead conversion, consultation scheduling, and cross-service recommendations.
- Monitor aesthetic service utilization and growth opportunities.
- Medspa sales and practice growth
Wellness & HRT Focus
- Serve as a primary non-clinical resource for wellness, hormone replacement therapy (HRT), and integrative health patients.
- Coordinate program enrollment, onboarding, follow-up, scheduling, and wellness workflows.
- Support patient engagement, retention, renewals, and reactivation initiatives.
- Assist patients in understanding wellness programs and administrative requirements.
- Coordinate closely with providers and clinical staff regarding patient questions and program participation.
- Wellness sales and practice growth
Qualifications
Preferred Experience
- Medical Spa, Aesthetics, Wellness Center, Functional Medicine, HRT Clinic, Dermatology, Plastic Surgery and Concierge Medicine experience preferred.
