Summary
The Accounting Specialist is responsible for managing day-to-day financial transactions, including processing invoices, maintaining accurate financial records, supporting collections efforts, and ensuring timely payments. This role plays a key part in maintaining cash flow, supporting financial reporting, and ensuring compliance with internal policies.
Essential Duties and Responsibilities
Accounts Payable (AP):
- Process vendor invoices accurately and timely, ensuring proper coding and approval
- Verify invoice details, including service periods, pricing, and supporting documentation
- Maintain vendor files and ensure all required documentation is on file
- Prepare and process weekly check runs, ACH, and wire payments
- Reconcile vendor statements and resolve discrepancies
- Communicate with vendors regarding payment status and inquiries
- Monitor accounts payable aging and assist with cash flow planning
Accounts Receivable (AR):
- Generate and issue invoices in accordance with contracts and service agreements
- Apply customer payments (ACH, check, credit card) accurately in the accounting system
- Monitor accounts receivable aging and follow up on outstanding balances
- Work closely with internal teams (sales/client experience) to resolve billing issues
- Maintain accurate customer records and contact information
- Assist with collections efforts and escalation of delinquent accounts
General Accounting & Administrative Support
- Ensure transactions are recorded in the correct accounting period
- Assist with month-end close, including reconciliations and reporting
- Maintain organized digital and physical filing systems
- Support audit requests by providing required documentation
- Adhere to internal controls and accounting policies
- Assist with process improvements to increase efficiency and accuracy
- Associate’s or Bachelor’s degree in Accounting (or equivalent combination of education and relevant experience)
- 1–3 years of experience in accounts payable and/or accounts receivable
- Experience with accounting software. QuickBooks Online preferred.
- Strong attention to detail and accuracy
- Strong communication and problem-solving skills
- Excellent time management skills with the proven ability to meet deadlines.
- Responsible for performing all tasks in a safe and efficient manner complying with all local, state, and federal safety and health regulations, and special safety concerns.
- Must have a valid California driver's license; and has no Class 1 or more than two Class 2 violations within the past 36 months.
