Overview
We are seeking an Office Ops Coordinator to lead the day-to-day administrative and operational functions of our home care programs. This role is responsible for ensuring office efficiency, regulatory compliance, staff coordination, and accurate documentation across PCA/CFSS and 245D services. The ideal candidate is highly organized, detail-oriented, and experienced in healthcare administration. This position serves as the operational backbone of the agency—overseeing office workflows, supervising administrative staff, supporting compliance efforts, and ensuring systems, records, and processes are consistently maintained in accordance with Minnesota 245D and 256B.0659 requirements.

Prior experience in healthcare office administration or program operations is strongly preferred.

Essential Functions

  • Oversee office operations and administrative systems, including scheduling workflows, documentation tracking, internal communications, and process improvement.
  • Ensure ongoing compliance with Minnesota Statutes 245D and 256B.0659 by maintaining organized records, monitoring deadlines, supporting audits, and assisting with corrective action plans.
  • Supervise and support Office Coordinators and administrative staff, providing day-to-day direction, performance feedback, and training to ensure efficiency and accountability.
  • Manage and maintain personnel files, training records, and program documentation, ensuring accuracy, completeness, and readiness for licensing reviews or audits.
  • Coordinate incident reporting and internal documentation processes, ensuring reports are completed accurately, submitted on time, and properly filed.
  • Support staff onboarding and training coordination, verifying required trainings are completed and documented in accordance with 245D standards.
  • Monitor administrative compliance tasks, including forms, service agreements, internal reviews, and policy adherence.
  • Serve as a liaison between office staff, care coordinators, and leadership, ensuring clear communication and smooth operational flow.
  • Identify operational gaps and recommend improvements to strengthen office efficiency, compliance readiness, and service delivery support.

Qualifications

  • Bachelor’s degree in human services field and one year of full-time experience providing direct care services; OR
  • Associate degree and two years of experience; OR
  • Diploma in a related field and three years of experience; OR
  • Minimum of 50 hours of human services training plus four years of experience under qualified supervision.

Preferred: 3 years of supervisory-level experience in programs serving persons with disabilities or older adults.

Compensation & Benefits

Salary Range: $55k–$66K DOE

Benefits: Paid time off (PTO); and eligibility for a health insurance stipend.
