Role Description The Office Administrative Assistant is a part-time, on-site role based in the State College, PA office. This position supports daily office operations, including managing phones, greeting visitors, handling mail and deliveries, and maintaining a professional reception area. The role includes scheduling meetings, coordinating conference rooms, preparing documents and correspondence, and assisting with data entry and filing. The Office Administrative Assistant will support project teams with clerical tasks, maintain office supplies and equipment, and help ensure efficient communication across departments. The individual in this role will work closely with leadership and team members to provide responsive, accurate, and courteous administrative support.
Qualifications
- Strong administrative assistance and general clerical skills, including data entry, filing, document preparation, and records management.
- Professional phone etiquette and front-desk support skills, including answering and directing calls, greeting visitors, and handling inquiries.
- Effective written and verbal communication skills to interact with colleagues, clients, and vendors in a clear and respectful manner.
- Proficiency with office software (e.g., Microsoft Office or similar tools) and comfort learning new systems and databases.
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines in a busy office environment.
