General Purpose
Under general direction, perform a variety of highly responsible administrative and problem solving functions in support of the Mayor to facilitate smooth and positive office operations.
Typical Duties
Perform complex administrative support duties to ensure efficient and effective office operations for the Mayor's office. Involves: Assisting in a variety of Mayor's office operations and performing special projects and assignments as requested. Attend meetings and hearings on behalf of the Mayor to gather information and act as a liaison. Maintain confidentiality and communicate priorities or items of interest to the Mayor. Assist the Mayor with requests as they may arise. Oversee and maintain the Mayor's Outlook mailbox and ensure all emails are forwarded to the appropriate staff and followed up on. Write reports and prepare correspondence in response to public inquiries. Conduct research, gather data, evaluate, and summarize findings to assist the Mayor. Prepare reports, summaries, and presentations to disseminate the information. Receive complaints or inquiries from the public, provide an appropriate response, or refer to the City Manager for proper distribution to City departments.
Serve as the liaison between City departments for constituent-related issues and other issues as they arise. Assist in finding ways to meet constituency needs while working within the City's policies and procedures. Work with community and neighborhood groups to resolve concerns in a timely manner. Assist in reviewing various proposals and projects. Monitor and track special projects, priorities, and inquiries. Assist in maintaining a calendar of activities, meetings, and various events for the Mayor. Coordinate activities with City departments, public, and outside agencies. Perform other related duties as assigned.
