Job description:
We are currently seeking a Fleet Administrator to support the daily administrative operations of our fleet and automotive shop functions. This role plays a critical part in ensuring fleet activities run smoothly by maintaining organized records, coordinating service activities, and supporting communication between drivers, mechanics, vendors, and leadership.
Job Description:
The Fleet Administrator will assist the Fleet Maintenance Manager with administrative tasks, help resolve day-to-day operational issues, and ensure documentation and processes remain compliant and well organized. Strong communication, organization, and record-keeping skills are essential to maintaining fleet safety, efficiency, and uptime.
Responsibilities:
- Verify and log completed work orders from various internal and external service shops.
- Log and maintain accurate DOT inspection forms.
- Schedule and manage service appointments with external shops.
- Maintain strong relationships with suppliers and vendors. Place orders, monitor deliveries, and ensure the timely receipt of parts.
- Oversee inventory management: track, maintain, and organize spare part inventory levels, ensuring timely restocking.
- Verify and submit credit card receipts daily.
- Manage new vehicle registration and renewal processes with the third-party registration partner.
- Review and approve weekly invoices for payment.
- Manage incoming and outgoing mail, emails, and other communications.
- Assist the Fleet Maintenance and Safety Manager with accident details and report submissions.
Education and Required/Preferred Experience:
- High school diploma or equivalent.
- 1-3 years of experience in administrative or office support roles, preferably in a workshop, retail environment.
- Experience in record keeping, vendor relationships, and online maintenance tracking is highly desirable.
- Excellent verbal communication skills.
Schedule:
- Monday through Friday 8 AM to 5 PM
- Onsite
- Travel to some sites
- Weekends as needed
- Overtime available
Pay:
- Starting Pay $22 Per Hour
