Job Summary

We are seeking a highly skilled and creative Visual Merchandise Coordinator to join our team. The Visual Merchandise Coordinator drives the successful execution of visual merchandising initiatives by owning fixture and prop procurement, leading project timelines, and managing critical reporting tools and databases. This role serves as the primary point of contact between the Visual Merchandising team, vendors, and stores — making key decisions to ensure timely delivery of fixtures and materials while maintaining the integrity of all project documentation and calendars. The ideal candidate is a proactive problem-solver who takes initiative, operates independently, and brings advanced Excel and project management expertise to every initiative.

This role is based at our New York City headquarters and requires being onsite five days a week.

Key Responsibilities

• Own end-to-end procurement and distribution of fixtures, props, and visual merchandising materials across all initiatives, including special projects and holiday roll-outs, making vendor selections and quantity decisions in alignment with project goals.
• Lead coordination with Effy logistics, vendors, and cross-functional teams to proactively monitor order status, track shipments, resolve delivery issues independently, and determine escalation needs before they impact project timelines.
• Drive the sampling process for new visual merchandising fixtures, props, and materials, evaluating options, directing vendor communications, consolidating feedback, and making recommendations to Visual Management on final selections.
• Own all project trackers, databases, and reporting tools, establishing standards for accuracy, determining reporting cadence, and delivering actionable project updates and analyses to key stakeholders.
• Identify process gaps and inefficiencies within visual merchandising operations and independently develop and implement solutions to improve workflow, vendor performance, and project execution.

Qualifications

• Bachelor's degree in Business, Marketing, Fashion Merchandising, or a related field preferred
• 1–3 years of experience in visual merchandising, retail operations, or project coordination
• Advanced Microsoft Excel proficiency; experience with project management tools a plus
• Strong vendor management and logistics coordination experience
• Demonstrated ability to work independently, make sound decisions, and manage multiple priorities
• Excellent organizational, analytical, and interpersonal skills
• Open to travel as needed to support store visits, vendor meetings, and visual merchandising initiatives

Salary Range:

$50,000 – $65,000 annually, depending on experience and qualifications.
