Primary Purpose

Qualifications
Education/Certification/Licensure
High school diploma or GED
Special Knowledge/Skills
Effective communication, interpersonal and public relations skills
Proficient computer, typing, and word processing skills
Working knowledge or ability to learn SunGard, Microsoft Word, Excel, Outlook, Kronos
Strong organizational and file maintenance skills
Knowledge of general office procedures and equipment
Strong interpretive and reasoning skills
Ability to be detail oriented, prioritize, and work effectively under stress and frequent interruptions
Ability to work independently with minimal supervision
Ability to maintain confidentiality
Experience
Minimum of 3 years successful clerical experience.
Major Responsibilities and Duties
- Perform routine office procedures and practices associated with a productive office, including but not limited to answering phone calls, typing correspondence and reports, sending and retrieving e-mail messages, maintaining and retrieving information files.
- Maintain database for professional staff and provide appropriate information as requested.
- Compile list of units and enrollment shifts and ensure all shifts are completed and submitted by Personal Action Notices in a timely manner.
- Complete Position Control forms for all added, deleted, and transferred units to campuses or departments.
- Communicate with professional applicants seeking employment information, checking the status of their applications, online application trouble shooting, and inquiring about job openings and requirements of the position.
- Process and expedite Personal Action Notices on new hires, transfers, changes, and separations for professional staff.
- Create vacancy postings and advertise as requested by supervisor.
- Assist with the planning and organization of CCISD district job fairs.
- Assist with compiling needed documents for interview teams and committee recommendations to the superintendent and support the facilitation of the committee process.
- Generate criminal background records on all professional applicants.
- Prepare materials needed by administrators for appointments, meetings, etc.
- Relieve CCISD receptionist and coordinate coverage as needed.
- Coordinate alternate coverage for CCISD receptionist when absence is anticipated.
- Travel to collect materials, visit CCISD facilities, and attend professional learning as directed.
- Submit CCISD mileage log or CCISD travel reimbursement form for required travel.
- Review master schedules with certification officer and verify Personnel Action Notices are aligned.
- Communicate with campus staff the changes needed after the master schedule review is completed.
- Monitor that changes are submitted by the campus to finalize the master schedule review process.
- Assist and maintain documentation of enrollment meeting additions or reductions in units for elementary, intermediate, high school and district-wide departments.
- Create seniority lists as requested.
- Maintain all job descriptions; ensuring accuracy on district website and human resources shared file.
- Maintain and update files to support district and campus staff on human resources processes and procedures.
- Provide professional learning to district and campus staff on human resources processes and procedures.
- Support and train Human Resources Specialist (Support Staffing) on processes and procedures.
- Serve as the main point of contact for Human Resources staff seeking guidance on the structure and framework of the Manning.
- Perform periodic audits of Manning entries to ensure alignment with the organizational structure and verify that all required data fields are completed.
- Partner with the Business Services team to identify and resolve inconsistencies in staffing data, funding sources, and position histories.
- Collaborate with the Technology Department to troubleshoot Manning-related issues and contribute ideas for enhancements that improve accuracy and user experience.
