Overview
We are seeking a highly organized and detail-oriented Administrative Assistant & Graphic Design to support multiple projects and day-to-day office operations. This role is ideal for someone who excels at managing timelines, tracking projects, and producing polished materials, while also contributing to the company’s visual communications and branding efforts.

The ideal candidate will be comfortable balancing administrative responsibilities with creative production, ensuring projects move forward efficiently and materials are prepared accurately and on time. Strong computer skills, attention to detail, and customer service abilities are essential. Bilingual proficiency is a plus.

Responsibilities

  • Manage and track multiple projects simultaneously, ensuring timelines are met and work is completed accurately
  • Prepare and format brochures, flyers, itineraries, and pre-departure materials for group travel programs
  • Assist with the organization and coordination of marketing and operational materials across departments
  • Design and produce visual content for marketing, social media, and internal communications in alignment with brand standards
  • Maintain organized filing systems, databases, and project records, including data entry and document proofreading
  • Provide administrative support including front desk coverage, answering multi-line phone systems, and assisting visitors
  • Communicate with clients and team members via phone, email, and in person with professionalism and clarity
  • Ensure all documents and communications are accurate, consistent, and professionally presented

Qualifications

  • Previous administrative experience with strong organizational and project coordination skills
  • Ability to manage multiple priorities and timelines in a fast-paced environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic graphic design tools
  • Strong attention to detail, proofreading ability, and document preparation skills
  • Excellent communication and customer service skills, including professional phone and email etiquette
  • Comfortable handling both administrative tasks and creative projects
  • Bilingual skills are a plus but not required
  • Prior experience in a receptionist or administrative support role is beneficial
  • Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and providing exceptional customer support with professional phone etiquette.
  • Oversee office operations such as filing, data entry, calendar management, and maintaining organized records using Google Workspace and Microsoft Office tools.
  • Handle bookkeeping tasks using QuickBooks to track expenses, invoices, and financial records accurately.
  • Assist with clerical duties including proofreading documents, managing correspondence, and supporting office management activities to ensure efficiency.
  • Develop engaging graphic designs for marketing materials, social media content, presentations, and internal communications that align with brand standards.
  • Support personal assistant functions such as scheduling appointments, coordinating meetings, and managing complex calendars.
  • Maintain a welcoming front desk environment by managing multi-line phone systems, providing excellent customer service, and ensuring smooth daily operations.

Pay: $18.00 - $22.00 per hour
