Duties
- Greet visitors, clients, and staff with a friendly and professional demeanor, ensuring they feel welcomed and valued
- Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette
- Handle front desk responsibilities including mail distribution, filing, and maintaining visitor logs
- Support office management tasks such as calendar management, appointment scheduling, and basic clerical duties
- Maintain organized records through accurate data entry, proofreading documents, and updating files regularly
- Assist with administrative support including word processing, creating reports, and managing office supplies
- Ensure the reception area remains tidy, organized, and inviting at all times
Qualifications
- Bilingual abilities are highly preferred to effectively communicate with diverse clients and visitors
- Proven office management or administrative experience in a professional setting
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy
- Excellent customer service skills with a focus on client communication and support
- Experience operating multi-line phone systems and demonstrating proper phone etiquette
- Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment
- Attention to detail for proofreading documents and maintaining accurate records
- Prior clerical experience including filing, typing, calendar management, and time management skills
- Personal assistant or front desk experience is a plus to handle diverse responsibilities effectively
