About the Role:
The Transportation Clerk is responsible for managing trailer inventory, providing communication and operational support, and ensuring accurate activation and monitoring of temperature recorders and system set points. This role also includes preparing and distributing necessary paperwork to drivers prior to dispatch, as well as coordinating night shift yard and transfer driver activities.

Pay Range: $18.00 – $21.00 per hour (based on experience)

Shift: Monday, Tuesday, Wednesday, Friday & Sunday 7pm-4am

Essential Duties and Responsibilities:

Data Entry and Inventory Updates:

• Input inventory records into the YC.
• Monitor and update data according to logistics address, check in / check out and schedule moved.
• Track inventory levels and report shortages or overstock.
• Ensure accuracy of incoming and outgoing shipments.

Trailers Inspections and Damage Tracking:

• Conduct Regular Inspections, routine pre-trip and post-trip inspections on all trailers.
• Ensure all safety and mechanical components are functioning properly.
• Identify and Report Damages, Checking for any visible damage (dents, scratches, broken parts).
• Document and report any issues or irregularities immediately.
• Maintain Inspection Records results and findings in the RT.
• Follow up to ensure timely completion of repairs.
• Keep track of all active, inactive, and under-maintenance trailers.
• Update trailer status.
• Take clear photos of any damage for evidence.

Communications and Support:

• Assist in resolving delivery delays, driver concerns, or inventory discrepancies.
• Communicate with drivers, managers and warehouse staff to provide updates and resolve issues.
• Support drivers and about routes, delays, or delivery instructions.
• Assist with fuel tag issues, paperwork, or questions from drivers.
• Respond to inquiries related to shipments, deliveries, and fuel tag use.
• Provide clear instructions to drivers regarding routes and backhaul documentation.

Routes & Backhaul Schedule Coordination:

• Confirm pick-up and delivery times with drivers and internal departments.
• Update daily schedule with ETD, ETA, driver, unit and PO assigned, updating when there are delays or changes.

Document Processing:

• Ensure documents are signed by drivers, customers, or warehouse personnel as proof of delivery or pick-up.
• Digital Document Managements.
• Ensure Upload and store scanned copies of documents
• Provide drivers with necessary paperwork before dispatch
• Follow up on unsigned or lost documents to complete records.

Structured Cost Duties:

• Track transportation-related expenses including fuel, shipping fees, tolls, and labor hours, rental units, PM services, others.
• Prepare cost reports and summaries for management.
• Verify vendor invoices, compare vendor invoices with actual shipments, deliveries, or services received (e.g., fuel purchases, toll charges, freight services).
• Make sure the invoice has corrected quantities, rates, dates, and totals. Confirm that there are no duplicate charges or unexpected fees.
• Match with Supporting Documents, Match invoices with fuel receipts, bills of landing, purchase orders, or delivery confirmations.
• Report invoice mismatches or potential overcharges to management, clarification or corrections if there’s a billing error or missing detail.
• Input approved invoices into reports, (invoices and CPC) CPC.
• Ensure daily routes are updated throughout the dispatch week by entering data from route sheets and Axapta, including daily routes, pallets, lumper records, approved detentions, freight cost vs. invoice, and other costs.
• Support budgeting efforts by providing accurate cost projections and historical data. Assist in analyzing cost data to identify trends or areas for savings.

Job Requirements:

• Bilingual in Spanish Required
• High school diploma or GED preferred
• 1 to 3 years of warehouse, storeroom, or industrial experience preferred
• Strong organizational, communication, and problem-solving skills
• Ability to prioritize tasks in a fast-paced environment
• Basic computer skills (Excel, email, inventory systems)
• Must be able to utilize a ladder to enter inside refer trailer to activate temp tail recorder.
