Position Overview:
- The Payroll Analyst is responsible for ensuring accurate and timely processing of payroll, maintaining compliance with applicable laws and regulations, and supporting payroll-related reporting and analysis.
- This role partners closely with HR, Finance, and external vendors to resolve payroll issues and improve processes.
- Process and review multi-state payrolls on a regular cycle (weekly, bi-weekly, for US and weekly and semi-monthly for Canada).
- Audit payroll data for accuracy, including earnings, deductions, taxes, and timekeeping inputs.
- Ensure compliance with federal, state, and local payroll tax regulations.
- Reconcile payroll reports, general ledger accounts, and benefit deductions.
- Investigate and resolve payroll discrepancies, employee inquiries, and system issues.
- Maintain and update employee payroll records in the HRIS/payroll system (e.g., UKG, Oracle, ADP).
- Prepare and analyze payroll reports for internal stakeholders, Finance, and auditors.
- Support year-end activities, including W-2 processing and audits.
- Assist with payroll system implementations, upgrades, and process improvements.
- Collaborate with HR on changes related to compensation, benefits, and employee status.
- Ensure proper documentation and adherence to internal controls and audit requirements.
- Processes payroll distribution, direct deposits, retroactive payments, voluntary payroll deductions, and identifies and researches exceptions
- Researches, analyzes, and resolves payroll related issues or questions from employees and other internal staff
- Receives and responds to pay related inquiries and collects emails from multiple locations that time sheets are ready to pull from time management system for processing
- Makes adjustments to amounts paid including overtime, vacation, sick, bonuses, garnishments, short-term disability; and maintains garnishments in payroll database
- Responds to queries from garnishment agencies and issues and records adjustments to pay related to previous errors or retroactive increases
- Compiles statistical reports, statements, and summaries related to pay and submits them to appropriate departments
- Processes manual checks, voids, stop payments, and direct deposit reversals, as needed
- High school diploma or equivalent required.
- Minimum of three to five (3-5) years of payroll processing experience.
- Experience with HR Information Management systems required: HR Cloud systems such as UKG (Pro & WFM), Oracle Fusion, Workday, or PeopleSoft preferred.
- Experience in processing multi-state payrolls.
- Knowledge in payroll laws and understanding of federal, state, and local taxes.
- Language Skills: Ability to read and comprehend documents such as safety rules, operating instructions, and procedure manuals. Ability to write simple correspondence and routine reports. Ability to effectively present information in one-on-one and small groups of customers and other employees of the organization.
- Critical Thinking / Reasoning Ability: Ability to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations
- Decision Making Authority: Ongoing supervision is provided on an "as needed” basis. Some independent judgement is necessary to select and apply the most appropriate of available procedures.
