Administrative & Scheduling
- Manage and coordinate multiple business calendars
- Prepare daily or weekly schedule briefings
- Schedule calls, client meetings, podcast interviews, and real estate appointments
- Help protect focused work time and maintain prioritization
Communication & Inbox Support
- Monitor and organize email inboxes across brands
- Draft professional messages and light copy using my voice and tone
- Track follow-ups and ensure nothing slips through the cracks
Referral & Partnership Outreach
- Conduct outreach to potential partners for HOMEFIT (concierge physicians, physical therapists, homeschool groups, corporate wellness contacts, etc.)
- Reach out to national real estate agents, sports agents, financial advisors, and other referral partners aligned with Robinson Reserve and the Athlete & Entertainer Group
- Track conversations, responses, and schedule introductory calls
Organization & Operations
- Maintain clean digital systems for documents, contracts, SOPs, and content assets
- Create simple spreadsheets for tracking, scheduling, and project notes
- Assist with small logistics tasks (event prep, open house support, podcast coordination)
Light Marketing Support
- Gather and organize content for social media
- Draft simple captions and schedule posts when needed
- Collect testimonials or client updates for future marketing use
Personal & Local Support
- Assist with occasional personal scheduling or errands
- Coordinate local service providers or appointments as needed
Who We’re Looking For
- Exceptionally organized and able to manage multiple responsibilities without dropping details
- Strong written communicator who can represent the brands professionally
- Tech-savvy, comfortable with Google Workspace, scheduling tools, spreadsheets, and learning new platforms quickly
- Proactive and resourceful — thinks ahead, stays two steps in front
- Confidential and trustworthy, especially with high-profile clientele and sensitive information
- Friendly, positive, and polished in professional interactions
- Reliable transportation for occasional in-person tasks
Experience in fitness, real estate, hospitality, or luxury services is a plus but not required.
Work Environment:
This role is primarily remote but will require occasional in-person support in the Birmingham area depending on the week’s projects. Hours are flexible and can be coordinated around another job or school schedule.
