Position Summary:
This position provides highly detailed and complex administrative support for the President including internal and external communications, project coordination and management of board communications and relations. This position requires initiative, ability to coordinate and prioritize a diverse range of responsibilities, strong communication and presentation skills and a desire to support members of the leadership team as needed. The individual in this position will be exposed to sensitive and confidential information, which requires a high degree of confidentiality.
Duties and Responsibilities:
- Manages daily functions of the President’s office and performs administrative duties for, and on behalf of the President.
- Communicates with internal and external constituencies regarding various matters and composes and edits correspondence and other documentation, often requiring discretion; follows up as necessary.
- Produces background information for proposals, provides data entry and data collection including charts and graphs using Microsoft Word, Power Point, Access, Excel and other computer applications. Composes reports and presentations for the President.
- Coordinates projects and monitors initiatives of the President and the agency’s leadership team to support timely and successful completion.
- Supports program operations through processing of contract documents, proposal development and managing general agency correspondence.
- Prepares materials for distribution to board members, committee meetings and full board meetings including the creation of meeting minutes.
- Completes all other job related duties as assigned.
- Ensure the safety of all staff, volunteers, visitors and individuals receiving services at Easter Seals.
- Act in compliance with Medical and Non-Medical Emergency Procedures.
- Assist individuals in evacuating building during emergency situations to include but not limited to: fire drills and external disaster drills. Specific duties to be assigned by immediate supervisor.
- Assume assigned responsibility for non-clinical duties during disaster and/or drills including but not limited to safety of files/office areas, closure of doors.
Qualifications:
- Bachelors degree preferred.
- Three years administrative support or related experience.
- Health status appropriate to the physical and emotional demands of the job.
- Detail oriented.
- Excellent computer and organizational skills.
- Ability to effectively communicate, verbally and written, with diverse (educational background, cultural, race and ethnic) groups or individuals.
- Ability to work efficiently as an individual while working flexibly, cooperatively and positively in a team environment.
- Self-starter with the ability to handle multiple projects simultaneously.
- Strong computer skills. Proficiency with Microsoft Office applications.
- Ability to work under pressure, maintain accuracy and meet deadlines.
