Full time position working 40 hours per week
Work schedule will be Monday through Friday 8:00 am to 5:00 pm
The Operations Coordinator for the Mental Health Services Department is responsible for overseeing the day-to-day operational functions that support high-quality mental health services. This role ensures efficient clinic operations at multiple sites, supports clinical staff, manages scheduling and resource allocation, and helps maintain compliance with regulatory, organizational, and funding requirements. The Operations Coordinator collaborates closely with clinical leadership to optimize service delivery for individuals and families within the Mental Health Services department.

A snapshot of what you’ll be doing:
- Maintain a calm, welcoming operational environment for families and staff
- Oversee daily clinic operations including intake, scheduling, waitlists, insurance verification, and staffing coordination
- Communicate scheduling changes, cancellations, financial policies, and grant/co-pay information to families
- Monitor billing accuracy and resolve issues daily within the EMR system
- Track operational metrics, productivity, and authorization utilization to support program goals
- Supervise and support administrative staff across multiple sites
- Collaborate with clinical leadership and cross-functional teams to ensure coverage, compliance, and smooth operations
- Support onboarding, audits, reporting, budgeting, quality improvement, and program growth initiatives
Qualifications
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
- 3–5 years of experience in operations, healthcare administration, or program management
- Experience supervising staff and managing workflows; healthcare or mental health setting preferred
- Experience working with children and families strongly preferred
- Proficiency in Microsoft Office; EHR/software experience a plus
- Strong communication, organization, and multitasking skills
- Ability to handle confidential information with professionalism and empathy
- Ability to meet our approved driver qualifications in order to drive your personal vehicle, as required, for program-related needs (minimum age of 21 and good driving history)
