Job Title: House Manager
Department: Community Residential Services
Reports To: Director of Community Residential Services
Classification: Full Time; Non-Exempt
Salary Range: $16.00
Job Objective: To further the ability of individuals with developmental disabilities to live independently by supervising and assisting Habilitation Training Specialists (HTS), managing house activities, and serving as a liaison between EARC and others involved with Service Recipient support.
Primary Duties and Responsibilities include the following:
- Provide overall management of an EARC residential housing unit such that the needs, goals and security of all Service Recipients are met in compliance with the policies and procedures of EARC and applicable law.
- Direct and supervise the employment of Habilitations Training Specialists and other employees assigned to unit.
- Set the work schedules and work assignments of Habilitation Training Specialists and other employees assigned to the unit to provide appropriate coverage.
- Provide detailed feedback to the Director of Community Residential Services (DCRS) and/or Human Resources regarding the overall performance of Habilitation Training Specialists and other employees assigned to the unit.
- Provide recommendations to the DCRS and/or Human Resources regarding the staffing needs of the unit, including but not limited to the compensation, hiring, advancement, and/or termination of Habilitation Training Specialists and other employees assigned to the unit.
- Ensure that Habilitation Training Specialists and other employees assigned to the unit satisfactorily and timely complete all training requirements of EARC policies and applicable law.
- Ensure that Habilitation Training Specialists and other employees assigned to the unit comply with EARC policies and applicable law.
- Provides a written evaluation, to DCRS for review, of the Habilitation Trainer’s work and effectiveness no less than: following ninety day probationary period and once annually.
- Complete quarterly reports on goal progress and significant changes for Service Recipients.
- Maintain and monitor home records according to EARC/DDSD policy.
- Document all house problems or incidents. Report safety issues timely.
- Maintain and document all personal funds, petty cash for Service Recipients, and operate home within budgetary guidelines. Maintain current inventories. Assist in spend downs of Service Recipient’s trust account balances to stay within regulatory guidelines.
- Serve as a point-of-contact for emergencies and urgent questions. Carry a cell phone and be generally available to respond to calls outside of ordinary business hours.
- Serve as Healthcare Coordinator and ensure that all health related documentation is kept and turned in timely.
- Report and assist in the investigation and resolution of problems that arise in the house (e.g. employee or Service Recipient complaints, employee or Service Recipient conflicts) with direction from DCRS.
- Maintain a clean, safe, and pleasant living environment for Service Recipients.
- Communicate house or policy changes to staff, team members, and other relevant parties.
- Plans or facilitates the planning of monthly group activities of recreation and social events
- Ensures home safety drills are conducted and documented according to DDSD policy.
20. Report needed household repairs to DCRS. Ensure repairs are completed in a timely manner.
21. Train new employees for specialized houses according to IP and team recommendations.
22. Build a positive relationship with professionals and family members.
Secondary Duties and Responsibilities:
- Perform all HTS duties and cover additional shifts when necessary.
- Assist HTS staff with the needs of Service Recipients.
Organization Wide Responsibilities
- Supports a dignified and caring atmosphere with Service Recipients, families, visitors and staff.
- Promotes a respectful and supportive environment and exhibits professional conduct at all times while representing EARC.
- Protects privacy and confidentiality of information pertaining to the Service Recipient, employees, facility information and records.
- Maintains a safe and secure working environment and practices safe working habits.
- Complies with the attendance policy.
- Maintains neat appearance, good personal hygiene and appropriate attire.
- Participates in training, in-services, and meetings as required.
Education and/or Experience
Minimum of one year full-time equivalent experience in serving persons with disabilities.
Training:
CPR/First Aid, Foundations, MAT, Effective Teaching & Learning 1 & 2, Communications, Connections, Ethical & Legal, Health & Safety, Nuts & Bolts, Skill Building, Individual Specific in-service training, and any other DDSD required training.
General Qualifications:
Valid OK Driver’s License
Proof of auto insurance
Reliable Vehicle
Acceptable driving record, OSBI, national background check, and community services registry check.
Environment/Working Conditions:
Most work performed in Service Recipient’s home – conditions vary by home and Service Recipient
Frequent business conducted at EARC Administrative Office
Equipment Operation:
General office equipment (phone, fax machine, computer, copier, etc.)
Communication devices (books, picture boards, hearing aids, etc.)
Transportation devices (car, wheelchair, wheelchair lift, hoyer lift, etc.)
Domestic appliances (gas/electric range, oven, washer, dryer, vacuum, microwave oven, etc.)
Knowledge, Skills, and Abilities:
Knowledge of disability types (developmental disorders and physical disorders)
Knowledge of individual Service Recipients (range of function, special needs, etc.)
Knowledge of medication (how and when to administer, etc.)
Knowledge of safety guidelines (general emergency procedures)
Knowledge of EARC and related parties (policy, procedures, etc.)
Skill in coordinating service recipient’s daily activites
Skill in deciding (accurately) what is in the Service Recipient’s best interests
Skill in communicating with Service Recipient, families, professionals, staff, supervisor, etc. (listening and speaking)
Ability to perform all HTS duties (see HTS job description)
Ability to engage in Service Recipient’s hygiene, manage behavior problems and meet other challenges
Ability to handle sensitive issues while protecting others’ welfare
Ability to be honest, reliable, dependable, and professional at all times
Ability to exercise patience, understanding, creativity and flexibility
