Leasing Office Manager
Location: Brooklyn, NY

Position Summary
We are seeking an experienced, polished, and results-driven Leasing Office Manager to oversee the daily leasing and administrative operations of a luxury residential property in Brooklyn.
This is a hands-on leadership position responsible for driving occupancy, managing the complete leasing process, supervising the leasing office, maintaining accurate records, and delivering a high level of service to prospects and residents. The ideal candidate is organized, sales-oriented, responsive, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities: Leasing and Sales
- Respond promptly to all leasing inquiries received by phone, email, website, and third-party platforms
- Schedule and conduct professional property and apartment tours
- Follow up consistently with prospects and maintain an active leasing pipeline
- Present available apartments, amenities, pricing, concessions, and lease terms accurately
- Process applications, collect required documentation, and monitor each application through approval
- Prepare leases, renewal documents, move-in materials, and related correspondence
- Track available units, upcoming vacancies, applications, approvals, and scheduled move-ins
- Maintain detailed prospect notes and follow-up activities in the property management system
- Meet or exceed occupancy, leasing, response-time, and conversion goals
- Monitor competitor pricing, concessions, availability, and market conditions
- Recommend pricing or marketing adjustments based on traffic and leasing performance
Office Management and Administration
- Oversee the daily organization and professional operation of the leasing office
- Ensure leasing files, resident records, applications, and required documentation are complete and accurate
- Maintain current availability, unit status, pricing, floor plans, and marketing information
- Coordinate move-ins, move-outs, inspections, key distribution, and resident orientations
- Prepare daily and weekly leasing reports for management
- Track traffic sources, tours, applications, approvals, leases signed, cancellations, and conversion rates
- Ensure all calls, emails, appointments, and follow-ups are documented
- Maintain office supplies, leasing materials, signage, and model-unit presentation
- Assist with rent-related questions, notices, account documentation, and other administrative matters as assigned
Team Leadership
- Supervise, train, schedule, and support leasing and front-office staff
- Establish clear expectations for responsiveness, professionalism, follow-up, and documentation
- Review open leads and leasing activity with the team daily
- Ensure appropriate office coverage during business hours, weekends, and employee absences
- Monitor performance and provide coaching when standards are not met
- Escalate staffing, operational, compliance, or performance concerns promptly
Resident Relations and Property Coordination
- Provide professional and responsive service to current and prospective residents
- Address resident questions and concerns and escalate unresolved matters appropriately
- Coordinate with maintenance, management, accounting, and outside vendors
- Track apartment readiness and confirm that available units are clean, repaired, inspected, and ready for showing
- Conduct regular inspections of model units, vacant apartments, leasing areas, and building amenities
- Assist with resident events, retention efforts, and renewal outreach
- Protect resident confidentiality and handle sensitive information appropriately
Compliance
- Follow all applicable Fair Housing laws and company leasing policies
- Apply screening requirements, pricing, concessions, and leasing procedures consistently
- Ensure advertisements, applications, leases, and resident records are accurate and compliant
- Maintain organized documentation for audits, approvals, and management review
Qualifications
- At least three years of residential leasing, property management, or related real estate experience preferred
- Prior experience supervising a leasing office or leasing team strongly preferred
- Demonstrated ability to lease apartments and convert inquiries into signed leases
- Luxury or high-volume multifamily leasing experience preferred
- Strong sales, customer service, leadership, and follow-up skills
- Excellent verbal and written communication skills
- Highly organized, detail-oriented, and able to manage multiple deadlines
- Proficiency with property management software; AppFolio experience is a plus
- Proficiency with Microsoft Outlook, Teams, Word, and Excel
- Ability to prepare accurate leasing and performance reports
- Working knowledge of Fair Housing requirements and residential leasing practices
- New York real estate license preferred or required when applicable
- Ability to work weekends and accommodate the property’s leasing schedule
Ideal Candidate
The successful candidate will take complete ownership of the leasing office and its results. This person should be proactive, professional, accountable, and persistent with follow-up.
