Key Responsibilities
- Perform administrative and clerical duties, including maintaining organized filing systems and processing office requests.
- Distribute time-sensitive mail and correspondence (including 51A reports) to the Ombuds team and other internal units.
- Support staff onboarding activities and assist with budget management for the Commissioner’s Office.
- Prepare Commissioner’s travel reimbursements, ethics forms, and track approvals through EOHHS.
- Prioritize and track action items; collaborate daily with the Executive Support Manager on task assignments.
- Coordinate scheduling requests for the Commissioner, ensuring accurate agendas, materials, and attendee communication via Outlook.
- Maintain confidentiality and exercise discretion when handling sensitive information and scheduling matters.
- Track meeting requests for weekly review sessions with Commissioner and support leadership team.
- Provide professional phone coverage, triaging calls with courtesy, tact, and an empathetic approach.
- Upload and maintain documentation via Microsoft Teams, ensuring timely updates and correspondence.
- Assist in planning annual employee recognition programs with Commissioner support staff.
- Prepare and assemble high-level materials for briefings, reports, and legislative or agency communications.
- Offer support to Central Office units as needed and perform additional duties assigned by management.
- Proficiency in MS Word, Excel, PowerPoint, Teams, and calendar management Minimum 2 years administrative support experience required
- Associate Degree
Minimum 3 years relevant professional experience required
- Bachelor’s Degree
