We’re seeking a proactive, detail-oriented Administrative Assistant to join our team.
Position Summary
The HOA Administrative Assistant supports daily operations of the management office, assists the Community Managers, and serves as a friendly, professional point of contact for residents, vendors, and partners.
Key Responsibilities
- Respond promptly to homeowner inquiries via phone, email, and in person.
- Maintain association records, databases, and files (digital and paper).
- Obtain proposals for needed repairs and services.
- Track maintenance requests and work orders; communicate with vendors and contractors.
- Support newsletter, website, and community communication efforts including incoming and outgoing mail management.
- Perform general administrative duties such as scheduling, and supply ordering and other supportive tasks as may be requested from time to time.
Qualifications
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
- 2 years of administrative experience; HOA, property management, or real estate background a plus.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and database management systems.
- Excellent communication, organizational, and customer service skills.
- Ability to handle confidential information with discretion.
- Strong attention to detail and ability to prioritize in a fast-paced environment.
- Experience with AI related programs
