Job Summary:
The Executive Assistant & Office Manager ensures the CEO’s time, priorities, and communications are managed effectively while also supporting broader company operations. You’ll coordinate leadership meetings and follow-ups, streamline internal systems, provide IT support when needed, and help manage key office functions.
This role offers both breadth and impact: you’ll gain exposure to executive-level priorities while also strengthening company-wide operations in a lean, collaborative HQ.
Must (required) be able to come into the role ready to start with little training on platforms and traditional systems, while learning and adapting to other processes specific to Delta Beverages over time.
Core Responsibilities:
Executive & Leadership Support
- Manage CEO’s calendar, travel, and inbox with a proactive, structured approach.
- Provide scheduling and administrative support for Senior Leadership as business needs require. While prioritizing time and support for the CEO’s calendar, coordination, and administrative needs, this role may also extend to providing administrative support and calendar management for up to 1–3 additional HQ-based senior leaders depending on business priorities.
- Be flexible and adaptable, with strong time management skills to balance competing scheduling needs across the leadership team.
- Track agendas, notes, and follow-ups from leadership meetings, ensuring accountability across teams.
- Draft and prepare presentations, reports, executive-level spreadsheets, and other executive communications.
- Help set up reminders, guide effective time management, and ensure appropriate escalation of communication.
- Serve as a key partner to the CEO, helping anticipate needs and providing professional communication support when the CEO is unavailable.
Communication & Organization
- Maintain structured systems for meeting recaps, decision logs, and action items.
- Serve as a point of contact for leadership scheduling, internal communications, and updates.
- Support cross-functional alignment by coordinating information flow between teams and leadership.
- Assist with professional messaging and insights for follow-ups with partners and stakeholders.
- Work effectively with differing communication styles to ensure clarity and alignment.
IT, Systems & Security Support
- Provide first-response IT troubleshooting for common tools (Google Workspace, Slack, Monday.com, Adobe).
- Manage onboarding/offboarding processes for accounts, devices, and systems.
- Track and maintain company-issued devices (laptops, monitors, accessories).
- Coordinate with external IT vendors for escalated support and improvements.
- Assess and recommend process efficiencies, implementing tools that increase team productivity.
- Own administration of Google Admin, ensuring regular system and security updates.
- Provide or coordinate support for Keeper and other internal systems, guiding platform administrative items.
- Work with HR to clarify ownership of platform administration during onboarding, ensuring appropriate coordination.
- Maintain strong cybersecurity awareness and compliance practices to safeguard company systems and data.
Office, Vendor & Budget Operations
- Manage office supply ordering and expense tracking.
- Be budget-conscious, providing guidance to eliminate unnecessary spend from HQ.
- Support the teaching, training, and guidance of team members for future budget understanding.
- Coordinate logistics for leadership offsites, board meetings, and executive hospitality.
- Support vendor relationships (IT providers, catering, facilities, etc.).
- Partner with HR during heavy hiring periods to schedule interviews and candidate communications.
- Assist with small-scale company events and in-office gatherings.
Qualifications:
- 3–5 years of experience in executive support, office operations, or administrative coordination.
- Strong skills in Google Workspace, Slack, Adobe, and Monday.com (or similar tools).
- Tech-savvy, with the ability to troubleshoot common IT issues and coordinate effectively with IT vendors.
- Experience administering platforms such as Google Admin and security tools (e.g., Keeper).
- Excellent communication skills, both written and verbal, with the ability to represent the CEO and leadership team professionally.
- Ability to navigate confidential or sensitive situations with grace and discretion.
- Highly organized, detail-oriented, and proactive in anticipating needs.
- Comfortable managing multiple priorities in a fast-paced, growing company.
- Strong cybersecurity awareness and understanding of compliance best practices.
