POSITION SUMMARY:
The Room Coordinator is responsible for overseeing room assignments, managing inventory, and coordinating with various departments to ensure optimal guest experiences. This role requires attention to detail, strong organizational skills, and excellent communication to maintain smooth operations within the hotel.
RESPONSIBILITIES:
- Assign rooms based on guest preferences, occupancy, and operational needs.
- Communicate with housekeeping, maintenance, and other departments to ensure rooms are ready for guests.
- Handle special requests, VIP accommodations, and guest concerns efficiently.
- Maintain accurate records of room availability and status.
- Coordinate with sales, catering, and reservations for group bookings and special events.
- Provide timely and professional communication to the Front Office and management team.
- Assist with reporting and administrative tasks related to room operations.
- Perform PBX (phone system) tasks including call transfers, taking messages, and handling guest inquiries.
- Other duties as assigned.
QUALIFICATIONS:
- High school diploma or equivalent; hospitality-related education preferred.
- Previous experience in hotel front office or reservations preferred.
- Strong organizational, communication, and problem-solving skills.
- Proficiency with PMS systems (e.g., ONQ, Opera) and Microsoft Office.
- Communicate properly and effectively with the guests, associates and managers.
- Effectively respond to guest complaints. Promote teamwork and associate morale.
- Maintain knowledge of hotel property, hotel staff, hotel services, hotel service hours of operation and hotel surroundings (i.e. mall, restaurants).
- Adhere to all work rules, procedures and policies established by the company.
WORKING CONDITIONS
- Fast-paced hospitality environment.
- Requires extended periods of standing and walking.
- May involve occasional lifting of items up to 25 lbs.
- Ability to work flexible shifts including nights, weekends, and holidays.
