PURPOSE:
As the Payroll Assistant, you will work closely with the Payroll Administrator and Human Resources Director to support the payroll department by assisting with the accurate and timely processing of payroll functions. This role ensures that employee pay, deductions, and payroll records are maintained accurately and in compliance with company policies and applicable laws.
ESSENTIAL DUTIES:
- Assist with processing payroll on a weekly, biweekly, semimonthly, or monthly basis
- Collect, review, and enter payroll data, including hours worked, overtime, bonuses, and deductions
- Maintain accurate employee payroll records and files
- Assist with payroll changes, including direct deposit updates, tax forms, and pay rate changes
- Respond to employee payroll inquiries and resolve discrepancies in a timely manner
- Assist with preparing payroll reports for management and accounting
- Support audits and ensure compliance with federal, state, and local payroll regulations
- Coordinate with HR and Benefits teams regarding deductions, garnishments, and benefits enrollment
- Perform other duties as assigned
QUALIFICATIONS:
- High school diploma or equivalent required
- 1–2 years of payroll, accounting, or administrative experience preferred
- Bilingual (English/Spanish) required
- Excellent verbal and written communication skills
- Proficiency in Microsoft Excel and payroll systems (e.g., ADP, Paychex, or similar)
- Strong interpersonal skills with the ability to handle sensitive and confidential matters with tact, professionalism, and diplomacy
- Excellent organizational and time-management skills with strong attention to detail
- Must be a team player with a high level of honesty and integrity
- Availability to work Monday through Friday
- Ability to quickly learn payroll management systems, human resources information systems (HRIS), or similar applications
- Proficiency with Microsoft Office Suite (Word, PowerPoint, Excel)
