About the Opportunity
We are seeking an experienced Operations & Client Experience Manager to serve as the right hand to a top-producing Austin real estate professional.
This individual will oversee day-to-day operations, listing coordination, vendor management, client
experience, marketing initiatives, scheduling, and business systems to ensure the business operates
efficiently and delivers exceptional service.
This is not an entry-level assistant position. We are looking for a highly organized, proactive professional
who can step into an established business, identify opportunities for improvement, implement systems,
and operate independently with minimal supervision.
The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, communicates
exceptionally well, and takes pride in creating order, efficiency, and a first-class client experience.
Experience in Austin's luxury real estate market is strongly preferred, as this role will interact directly with discerning clients and represent the business at a high level.
Key Responsibilities
Operations & Systems Management:
Evaluate, implement, and optimize business systems and workflows.
Assess current processes and recommend technologies, systems, and operational improvements
that increase efficiency and scalability.
Establish and maintain organizational systems for client management, lead tracking,
communications, project management, and business operations.
Identify inefficiencies and proactively implement solutions.
Maintain organization across all aspects of the business.
Manage projects, deadlines, and ongoing initiatives to ensure smooth day-to-day operations.
Client Experience & Relationship Management:
Serve as a primary point of contact for clients when appropriate
Deliver a seamless, concierge-level client experience.
Communicate professionally and promptly with buyers, sellers, vendors, and industry partners.
Anticipate client needs and resolve issues before they become problems.
Build trust and confidence while representing the agent and brand at the highest level.
Maintain discretion, professionalism, and exceptional attention to detail.
Listing & Transaction Coordination:
Manage the complete listing launch process from preparation through market debut.
Coordinate and schedule all listing-related vendors, including photographers, videographers, drone
operators, stagers, inspectors, contractors, and other service providers.
Prepare and upload listings to the MLS and other marketing platforms, ensuring accuracy and
attention to detail.
Gather and organize property information, disclosures, measurements, marketing materials, and
required documentation.
Coordinate inspections, repairs, vendor access, and follow-up throughout the listing and transaction
process.
Track deadlines and ensure all listing and transaction milestones are met on time.
Maintain communication with clients, title companies, vendors, and cooperating agents throughout
the transaction process.
Marketing & Brand Management:
Manage social media platforms and content calendars.
Create, schedule, and publish engaging content.
Utilize AI tools to improve efficiency, streamline workflows, and support marketing initiatives.
Coordinate marketing campaigns, client communications, and outreach efforts.
Maintain consistency across all branding and marketing efforts.
Executive & Calendar Management:
Manage a complex and ever-changing calendar for a high-producing real estate professional.
Coordinate appointments, showings, listing consultations, inspections, client meetings, travel, and
personal commitments as directed.
Anticipate scheduling conflicts and proactively manage priorities.
Protect the agent's time by ensuring schedules are organized, efficient, and aligned with business
goals.
Manage reminders, follow-ups, and task tracking to ensure nothing falls through the cracks.
Real Estate Support:
Show properties when needed.
Assist with buyer and seller support as appropriate.
Serve as a trusted extension of the agent's brand and business.
Support special projects and initiatives as needed.
Qualifications Required:
Minimum 3–5 years of experience in operations, executive support, business management, real
estate operations, project management, or a similar role.
Exceptional organizational and project management skills.
Strong written and verbal communication abilities.
Demonstrated ability to create systems, improve processes, and drive operational efficiency.
Ability to work independently with little direction or oversight.
Strong technology skills and comfort learning and implementing new tools.
Experience managing multiple priorities simultaneously while maintaining exceptional attention to
detail.
Professional, polished, and client-facing demeanor.
Availability Monday through Friday during standard business hours, with flexibility for occasional
evenings and weekends.
Austin luxury real estate experience strongly preferred.
Active Texas Real Estate License.
Experience supporting a top-producing real estate agent, luxury real estate team, executive, or
entrepreneur.
Experience with listing coordination, MLS management, and transaction support.
Strong marketing, social media, and content creation skills.
Experience utilizing AI tools to improve productivity, communication, and marketing efforts.
Understanding of luxury client service standards.
