The Douglas County District Attorney's office is seeking an individual with experience in providing high quality legal office support for the position of Legal Secretary. By ensuring the efficient and accurate completion of all assigned work, the Legal Secretary assists the department in achieving its mission to pursue justice through the fair and ethical prosecutions of criminal offenders, to seek justice for victims of crime, to create a safer community through positive partnerships with law enforcement and other community members, and to earn and hold the trust and respect of the citizens that we are privileged and honored to serve. The right individual will be one who is an efficient and hardworking individual with a keen eye for detail, a proven ability to produce high-quality work with accuracy and consistency, and an understanding of the importance of the work the office undertakes.

Primary Objectives
Performs intermediate work through a wide variety of difficult, technical, complex or specialized administrative and legal support services to attorneys and staff; administering for department IT software; performs related tasks as apparent or assigned.

  1. Performs case preparation for court; creates physical and electronic files; runs criminal histories and DMV records; orders certified priors, distributes discovery, requests evidence, files documentation with courts, maintains files.
  2. Receives and screens calls from litigants, attorneys, judges and the public; answers inquiries on a variety of subjects related to department and/or County activities. 
  3. Performs court processing; watches JAVs recordings (court hearings), schedules hearings, adds court case numbers, closes cases, enters sentencing, expedites document deliveries to court.
  4. Performs closing and auditing of files; closes physical and electronic files, scans documentation, purges physical files as required.
  5. Acts as receptionist and receives and screens visitors and telephone calls and directs the caller to the proper person or personally handles the call; provides information which requires the use of judgment and interpretation of policies, rules and procedures.
  6. Processes traffic citations, pretrial conferences and trials; runs DMV history, vehicle registration, addresses warrant hits; assists attorneys with processing of paperwork.
  7. Prepares and composes correspondence, reports, forms, contracts and specialized documents; ensures proper handling of confidential and sensitive information.
  8. Proofreads and checks materials for accuracy, completeness, and compliance with departmental policies and regulations. 
  9. Enters and retrieves data and prepares reports using a variety of software programs; reviews such reports for accuracy and makes corrections as required; operates standard office equipment. 
  10. Maintains department copy of the Douglas County Code; assist with posting to the website; update NRS and other legal documentation assets.
  11. Calendars and schedules court dates, meetings and appointments for attorneys.
  12. Contributes to the efficiency and effectiveness of the unit's service to its customers by offering suggestions and directing or participating as an active member of a team.
  13. May train and direct the work of temporary staff for special projects or programs. 
  14. Represents the County with dignity, integrity, and a spirit of cooperation in all relationships with staff and the public.
  15. Contributes effectively to the accomplishment of team or work unit goals, objectives, and activities.
MINIMUM QUALIFICATIONS
  • High School diploma or GED and two (2) years of experience providing legal office support to staff; OR an equivalent combination of education, training and experience.
CERTIFICATIONS/LICENSES
  • State of Nevada Notary Public within six (6) months of date of employment.
  • FBI – JLINK certification within six (6) months of date of employment.

  • This work is sedentary and requires little exertion of force.

  • Work has standard vision requirements; vocal communication is required for expressing ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels.
  • Work requires preparing and analyzing written or computer data and observing general surroundings and activities.
  • Work is generally in a moderately noisy location (e.g. business office, light traffic).
  • Work has no exposure to adverse conditions.
