Responsibilities

  • Greet visitors and clients warmly, ensuring a positive first impression
  • Manage multi-line phone systems with professionalism and courtesy, directing calls efficiently
  • Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
  • Maintain organized filing systems, including document management and record keeping
  • Support office management duties, including calendar management and appointment scheduling
  • Assist with clerical tasks such as proofreading, filing, and preparing correspondence
  • Provide excellent customer support by addressing inquiries promptly and courteously
  • Perform basic bookkeeping functions using QuickBooks or similar accounting software
  • Manage office supplies inventory, placing orders as needed to ensure smooth operations
  • Uphold phone etiquette standards and demonstrate strong organizational skills to enhance office productivity

Qualifications

  • Proven experience in office management or administrative roles with clerical or front desk responsibilities
  • Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry tools
  • Excellent customer service skills with a friendly and professional demeanor
  • Familiarity with multi-line phone systems and phone etiquette best practices
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience in medical or dental receptionist roles is a plus, demonstrating familiarity with appointment scheduling and patient communication
  • Technical proficiency in office equipment such as printers, scanners, and fax machines
  • Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Personal assistant or calendar management experience is advantageous for supporting executive schedules
  • Ability to maintain confidentiality and demonstrate strong attention to detail through proofreading and accurate record keeping
