What are the responsibilities and job description for the IT Project Coordinator position at Doctor's Data Inc?
Make an Impact Where It Matters
At Doctor’s Data, we don’t just run projects—we keep critical systems moving in an environment where accuracy, speed, and coordination matter. We’re looking for an IT Project Coordinator who thrives on organization, follow-through, and bringing clarity to complexity.
If you’re the kind of person who naturally keeps things on track, connects the dots across teams, and makes sure nothing falls through the cracks—this role was built for you.
What You’ll Do
You’ll be the engine behind IT project execution—keeping initiatives organized, visible, and moving forward.
Project Coordination
- Manage timelines, tasks, and deliverables across multiple IT projects
- Coordinate meetings, document outcomes, and drive follow-through
- Identify risks early and help keep projects moving without delays
Cross-Functional Collaboration
- Partner with IT and business teams to ensure alignment
- Keep communication clear, timely, and actionable
- Bridge the gap between technical teams and operational stakeholders
Documentation & Visibility
- Maintain organized, accurate project documentation
- Provide clear updates on progress, risks, and next steps
- Capture workflows, systems, and processes to build long-term structure
Execution & Support
- Support system implementations, upgrades, and rollouts
- Coordinate training and user adoption efforts
- Ensure teams are prepared and aligned for successful delivery
Process Improvement
- Bring structure where it doesn’t exist
- Improve how projects are tracked, communicated, and executed
- Tackle backlog items and continuously identify better ways to work
What You Bring
You’re organized, proactive, and not afraid to follow up (more than once if needed).
- Strong organizational and project tracking skills
- Ability to manage multiple priorities in a fast-paced environment
- Clear, professional communication skills
- High attention to detail and accountability
- Confidence working across teams and driving follow-through
Experience & Background
- 3 years in project coordination, operations, or similar roles
- Experience supporting IT or technical projects
- Familiarity with project tracking tools or systems
- Bachelor’s degree preferred (or equivalent experience considered)
- Experience in healthcare, laboratory, or regulated environments is a plus
What Success Looks Like
- Projects are organized, visible, and consistently moving forward
- Stakeholders are aligned, informed, and accountable
- Risks are identified early—not after they become problems
- Documentation is clear, useful, and actively used
- The IT team operates more efficiently because of you
What This Role Is (and Isn’t)
This role is:
- A key driver of coordination and execution
- A partner to IT and business teams
- A builder of structure and consistency
This role is not:
- A project owner with budget or final decision authority
- A technical architect or system decision-maker
Work Environment
- Fully onsite in St. Charles, IL (5 days/week)
- Collaborative, team-oriented office environment
- Hands-on partnership with IT and cross-functional teams
This isn’t a “sit back and track tasks” role. It’s a hands-on, high-visibility position where you help bring order, clarity, and momentum to critical IT initiatives.
If you take pride in being the person who makes things happen—we want to meet you.
