Summary:
The HR & Station Services Coordinator supports a wide range of human resources and administrative functions to ensure smooth station operations and compliance with relevant regulations. This role is responsible for coordinating onboarding, HR compliance, payroll reporting, training logistics, employee engagement, and supporting the General Manager with operational tasks. The coordinator serves as a key liaison between employees, HR, and operations leadership, ensuring consistency, communication, and confidentiality across all aspects of station support.
Key Responsibilities:
Human Resources & Employee Services
- Coordinate all onboarding activities in partnership with the Training department, including scheduling, documentation, and badge and customs requirements.
- Process I-9s and manage E-Verify submissions for all new hires.
- Support open enrollment and assist employees in navigating benefits-related questions and selections.
- Handle PTO requests and maintain attendance records.
- Assist in the preparation of performance documentation and disciplinary action forms in collaboration with station leadership.
- Maintain accurate and confidential employee records and personnel files.
- Answer HR-related inquiries and ensure timely, consistent support to employees and managers.
- Support the administration of leave of absence requests in compliance with policy and applicable laws.
Compliance & Reporting
- Attend and report on Badge Office and Customs meetings; schedule and track all required training and renewals to maintain compliance.
- Conduct quarterly audits related to customs and badging; support other audits as needed.
- Submit documentation for badge renewals and related compliance items.
- Assist with internal and external HR-related audits.
Administrative & Operational Support
- Prepare and submit daily reports to Payroll; coordinate with managers on hours and adjustments.
- Maintain uniform inventory and ordering process.
- Coordinate travel visit preparations (TVPs) for visitors from other stations.
- Support General Manager with administrative needs, calendar scheduling, and station-level coordination.
- Assist in coordinating and attending job fairs and recruitment events.
- Manage office supply inventory, equipment, and coordinate with vendors.
- Ensure the office remains organized, efficient, and compliant with company standards.
Qualifications:
- 2 years of experience in Human Resources, administrative support, or station operations preferred.
- Knowledge of HR compliance processes (I-9, E-Verify, FMLA/LOA processes, etc.).
- Strong interpersonal and communication skills; bilingual a plus.
- High level of integrity and confidentiality.
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with HRIS or badging systems is a plus.
- Ability to multitask and manage shifting priorities in a fast-paced environment.
- Strong organizational and time management skills.
Working Environment:
- Office environment within a station setting.
- May require occasional travel to attend job fairs or HR training.
- Some early morning or evening hours may be needed depending on station activity or shift schedules.
