JOB DESCRIPTION
TITLE: PAYROLL SPECIALIST
QUALIFICATIONS:
- Bachelor’s degree in accounting or related field.
- Two to three years’ experience in accounting work, previous payroll experience preferred.
- Additional payroll experience may substitute for higher education.
REPORTS TO: Chief Financial Officer
SUPERVISES: If applicable, as designated by Board, Superintendent, or School Administrator
FUNCTION: The Payroll Specialist will oversee the organization’s payroll functions, ensuring pay is processed on time, accurately, and in compliance with district policies and government regulations.
RESPONSIBILITIES:
- Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of
payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Enters and maintains information in the payroll system; information may include employees' hourly rates,
commissions, bonuses or other compensation, deductions and withholdings, address changes, and other
information.
- Prepare and input employee leave to the absence reporting system. Balance the posting of leave and prepare
necessary pay adjustments upon exhaustion of paid leave.
- Prepares and maintains accurate records of payroll transactions.
- Partners with team members to identify and implement efficiencies within the payroll systems, procedures,
and processes.
- Ensures compliance with federal, state, and local payroll, wage, and hour laws, and best practices.
- Prepare month-end, quarterly, and year-end close processes in accordance with software requirements
and procedures.
- Respond to Employment Verification request, to include salary information and employment history.
- Facilitates audits by providing records and documentation to auditors.
- Prepares and maintains information to input into SC Educator; information to include salary, contract length
and position.
- Performs other duties as assigned that support the overall objective of the department.
REQUIRED SKILLS AND ABILLITIES:
- Knowledge of the payroll function including preparation, balancing, internal controls, and payroll taxes.
- Excellent organization skills and attention to detail.
- Strong analytical and problem-solving skills.
- Proficient with Microsoft Office Suite and payroll software, preferably Harris School Solutions or related software.
