Administrative Practice Assistant (APA) – Direct CounselDirect Counsel is partnering with a leading California law firm seeking an Administrative Practice Assistant (APA) to provide administrative support to the legal team. Reporting to the Director of Administration, the APA will work closely with attorneys and legal assistants to ensure efficient handling of legal matters. This entry-level position offers opportunities to grow into a Legal Practice Assistant (LPA) role, supporting litigation projects and expanding legal administrative skills.Key Responsibilities:Draft, review, revise, and proofread legal and non-legal documents, including correspondence, memoranda, pleadings, expense reports, PowerPoint presentations, and budgets.Format court pleadings according to court rules; generate tables of authorities and contents using software tools.Understand and apply local, municipal, state, and federal court rules and procedures.File documents with courts and administrative bodies, including electronic filing, and arrange for service of pleadings and subpoenas.Assist with scheduling meetings, teleconferences, conferences, and travel arrangements.Organize and maintain electronic and physical case files, supporting the firm’s “paper lite” initiatives.Track and manage various projects; maintain shared and individual calendars.Enter attorneys’ billable time and coordinate with billing staff to ensure timely review of statements.Prepare check requests, expense reports, and coordinate vendor payments.Serve as backup receptionist and support secretaries during absences.Maintain composure and efficiency under tight deadlines; collaborate productively with all team members.Perform other duties as assigned.Qualifications:High school diploma required; additional education a plus.Strong customer service and interpersonal skills; ability to communicate professionally with diverse populations.Excellent grammar, spelling, and attention to detail.Strong organizational and prioritization skills; ability to meet deadlines under pressure.Proactive, independent, and team-oriented.Receptive to constructive feedback for skill development.Proficient in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook).Experience with iManage, Best Authority, billing/time systems, and Adobe Professional is a plus.Salary & Benefits:Estimated base pay: $27.00 – $30.00 per hour, based on experience, education, and market factors.Equal Opportunity Employer:Direct Counsel is committed to equal employment opportunities.
