POSITION SUMMARY
As a Shipping Coordinator, your mission is to ensure zero-defect dispatch of customer orders through accurate, timely, and fully compliant shipping operations. You’ll own the process end-to-end — from auditing Picking Tickets and verifying compliance, to coordinating resources and resolving shipping exceptions. You’ll be the last quality checkpoint before the product reaches the customer, and a key contributor to the company's reputation for precision and speed.

OBJECTIVES & RESPONSIBILITIES

Enforce and perform the company's high-standard shipping protocols
-
Audit all Customer Order Picking Tickets for completeness, accuracy, and required signatures before warehouse release and before invoicing

Ensure every order includes accurate documentation, correct destination, precise shipping labels, required special markings, and matching invoice backup to eliminate any chance of misrouting or customs issues

Ensure international and domestic compliance for all outbound shipments, including hazardous materials compliance

Coordinate daily with Sales, Purchasing, and Warehouse to ensure all orders are prepared, packed, and shipped as promised

Perform end-of-day audits of customer invoices for accuracy before submitting to Accounting

Proactively identify and resolve shipping-related issues that can cause delays, such as customs delays, carrier errors, documentation mismatches, weight discrepancies, label supplies, toner shortages, and inventory discrepancies

Work with carriers to resolve delivery exceptions in a timely, customer-focused manner while maintaining our promise to the customer. Always inform the sales representative of any potential delays and ensure they notify the customer ahead of time to preserve trust

Proactively communicate with team members, cross-functional departments, and shipping partners

Stay current with changes in global shipping procedures and apply updates to process
COMPETENCIES

In-depth knowledge of domestic and international shipping requirements

Familiar with ERP and shipping platforms (FedEx, UPS, DHL, and integrated systems like NetSuite or SAP)

High attention to detail; near-zero error tolerance

Proactive mindset with a bias for action and fast decision-making

Ability to manage high-pressure shipping timelines and resolve issues independently

Organized and systems-oriented; capable of owning processes start to finish

EDUCATION & EXPERIENCE

College degree or equivalent experience
-
Minimum 5 years in shipping/logistics (preferred: industrial, international)

Experience with ERP and shipping integrations a plus

Must pass background check

Ability to sit for long periods while working on a computer
