Summary

As an Executive Assistant to the CEO, you will be responsible for providing diverse, complex and confidential administrative support for the Chief Executive Officer and the Office of the CEO by serving as a liaison to the Board of Directors, business associates, clients, and staff. You will provide support on projects that will enhance the function of the executive office.

Primary Duties

  • Arrange and coordinate meetings, teleconferences and other events; plan travel itineraries; make reservations, maintain calendar and manage schedule for Chief Executive Officer.
  • Perform administrative functions in support of the CEO including gathering and analyzing data, preparing drafts of correspondence, presentations, spreadsheets and reports.
  • Maintain a comprehensive calendar of dates for renewals or revisions of recurring policies, resolutions or other items: track time-sensitive projects, follow up with staff well in advance of deadlines.
  • Act as liaison between supervisor and other executives to follow up on assignments; obtain information and/or provide status reports.
  • Process requests for reimbursement, dues and other expenses in accordance with proper approvals and budgets; research and resolve related problems.
  • Perform research and analysis of information; coordinate/manage special projects as required.
  • Generate and/or gather data and information to support report preparation; complete all reporting requirements of the position.
  • Maintain financial and legal records relating to the Agency's operations; screen and respond to requests for information from independent auditors, foundations and others.
  • Maintain familiarity with Agency mission and all its programs to effectively respond to internal and external requests for information and help.
  • Act as liaison between Chief Executive Officer and outside agencies by screening correspondence, phone and personal requests and independently handling all that do not require the personal attention of supervisor; ensure that requests requiring immediate attention are referred to the appropriate Senior/Executive Leader.
  • Receive, screen, and route mail, email, telephone calls and publications; prioritize responses to requests for information as necessary; respond to inquiries in a prompt, courteous and confidential manner on behalf of the CEO.
  • Work with other Executive Administrative Assistants to ensure coverage for each other during absences and assist all other departments with special projects as needed.
  • Support the Chief of Staff to execute administrative tasks related to the Board of Directors and strategic initiatives.
  • Assist in coordination of agency-wide events as requested.
  • Provide an organized work environment by disseminating, tracking and maintaining information/data and implementing appropriate organizational systems.
  • Develop and maintain skills through seminars, workshops, or other forms of training/education.
  • Maintain professional and courteous demeanor with staff, Board members, and external stakeholders, representing the agency’s mission and office of the CEO with confidentiality.
  • Upon request, lead special administrative projects that contribute to quality and strategic initiatives.


Position Requirements

  • High school diploma required; associate's degree and/or college course work in business, administration, or related field preferred.
  • Minimum 8 years of experience supporting executive staff, preferably in a nonprofit, social service/mental health environment.
  • Working knowledge of Agency policies and procedures.
  • Strong clerical/administrative skills including personal computer skills (Microsoft Office software) and working knowledge of contemporary general office methods.
  • The ability to present ideas, information, and viewpoints clearly, both verbally and in writing.
  • Ability to make routine decisions and determine proper action based on experience within the limits of policy and procedures.
  • Ability to maintain discretion and confidentiality over highly sensitive Agency and executive information.
  • Exceptional organizational skills to initiate and manage projects.
  • Strong writing, spelling, grammar, editing and proofing skills, with strong attention to detail.
  • Superb verbal and listening communication skills.
  • Ability to assume responsibility for a wide variety of projects including researching and analyzing business information; and planning, coordinating and implementing large meetings.

  • Current California driver’s license and a driving record acceptable to the Agency’s insurance carrier.
  • Ability to work on the occasional evening and/or weekend as requested.
