The ideal candidate has experience supporting a CEO, founder, or senior executive and is skilled in managing complex scheduling, coordinating travel and related details, preparing materials and correspondence, tracking follow-ups, and handling sensitive information with professionalism and discretion. This role goes beyond traditional administrative support and requires someone who can protect the CEO’s time, anticipate needs, and ensure consistent follow-through across competing priorities.
This role is based in Calabasas, CA and requires in-office presence, with occasional availability outside standard business hours.
Key Responsibilities:
- Work closely with the CEO to help manage and optimize a complex, constantly evolving calendar, ensuring alignment with priorities and follow-through
- Serve as a central coordination point across the CEO, leadership team, and internal and external stakeholders
- Anticipate needs, prioritize competing demands, and use sound judgment to keep priorities moving
- Coordinate detailed domestic and international travel (business and personal)
- Prepare high-quality communications, presentations, and briefing materials
- Track key priorities, deadlines, and commitments to ensure consistent execution and follow-through
- Support complex business and personal coordination, including household, advisor, and administrative matters, with professionalism and discretion
- Support office operations and provide guidance to administrative staff
Qualifications:
- 7–10 years of experience, including 5 years supporting a highly active CEO or senior executive
- Proven ability to operate independently and use sound judgment in a high-trust, high-accountability role
- Demonstrated success managing complex, shifting priorities with minimal oversight
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- High level of discretion and professionalism in handling sensitive matters
- Proficiency with modern productivity tools, including comfort using AI tools (e.g., ChatGPT, Copilot, or similar), with an understanding of confidentiality considerations
- Demonstrated strong judgment in determining what can be handled independently and what should be escalated

Salary : $75,000 - $95,000
